Chula Vista Resort is seeking an organized, energetic, and hospitality-driven Wedding Sales & Event Manager to sell, plan, and execute weddings and related events.
This is a start-to-finish role. You will guide couples from their first inquiry and property tour through contracting, detailed planning, BEO preparation, rehearsal coordination, wedding-day execution, and post-event follow-up.
The ideal candidate is a confident salesperson, exceptional planner, clear communicator, and calm problem-solver who enjoys creating memorable experiences while achieving revenue goals.
Key Responsibilities
- Respond promptly to wedding inquiries and qualify prospective clients.
- Conduct discovery calls, property tours, planning meetings, tastings, and venue walkthroughs.
- Create proposals, estimates, contracts, addenda, and payment schedules.
- Build relationships, follow up consistently, overcome objections, and confidently close business.
- Meet wedding revenue, booking, conversion, and activity goals.
- Recommend ceremony and reception spaces, menus, bar packages, accommodations, rehearsal events, brunches, and resort enhancements.
- Serve as the couple’s primary resort contact throughout the sales and planning process.
- Develop planning timelines and guide couples through menus, room setups, décor, entertainment, guest accommodations, vendor logistics, and resort policies.
- Create floor plans, seating arrangements, setup instructions, ceremony outlines, vendor schedules, and wedding-day timelines.
- Prepare accurate Banquet Event Orders for ceremonies, receptions, rehearsals, dinners, brunches, and related functions.
- Document event times, attendance, menus, bar service, room setups, audiovisual needs, décor, dietary restrictions, billing instructions, special requests, and weather backup plans.
- Obtain client approvals and distribute updated BEOs and planning documents to resort departments.
- Lead or participate in BEO meetings and communicate event details to Banquets, Culinary, Reservations, Front Desk, Housekeeping, Engineering, Audiovisual, Security, Accounting, and other teams.
- Coordinate with photographers, florists, decorators, DJs, musicians, officiants, transportation providers, and other vendors.
- Lead wedding rehearsals when included in the resort’s services.
- Serve as the primary resort contact on the wedding day.
- Inspect ceremony and reception spaces before guest arrival and verify that setup matches approved plans.
- Coordinate vendor arrival, ceremony timing, reception transitions, meal service, formalities, and major timeline moments.
- Anticipate and resolve weather concerns, delays, client requests, vendor issues, and other event-day challenges.
- Track deposits, payments, guarantees, minimums, upgrades, additional charges, and final billing.
- Maintain accurate client records, event details, sales activity, and revenue forecasts in resort systems.
- Follow up after each wedding, gather feedback, request reviews, and identify referral or future business opportunities.
- Represent the resort at bridal shows, wedding showcases, open houses, and networking events.
Qualifications
- Three or more years of wedding sales, catering sales, event planning, hospitality sales, or related experience preferred.
- Full-service resort, hotel, destination venue, country club, or banquet experience strongly preferred.
- Experience managing weddings or complex events from inquiry through execution.
- Ability to build relationships, present confidently, negotiate, and close business.
- Experience preparing BEOs, event timelines, floor plans, guarantees, and related documents.
- Strong knowledge of wedding ceremonies, receptions, food and beverage service, vendor coordination, and event logistics.
- Excellent communication, organization, follow-through, and attention to detail.
- Ability to manage multiple clients, deadlines, appointments, and events simultaneously.
- Comfortable discussing budgets, contracts, deposits, minimums, and billing.
- Proficiency with CRM, event-management, office, and diagramming software.
- Ability to remain calm, professional, and decisive during live events.
- Availability to work evenings, weekends, holidays, rehearsals, and weddings as business requires.
