Duties
- Manage complex calendars, schedule appointments, and coordinate meetings efficiently to optimize executives’ time.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring prompt customer support and information dissemination.
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents with meticulous attention to detail.
- Maintain organized filing systems both physically and digitally, including data entry and record keeping using tools like Google Workspace and Microsoft Office.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries to support financial accuracy.
- Serve as the front desk receptionist by greeting visitors, managing office supplies, and overseeing general office operations to ensure a welcoming environment.
- Provide personal assistant support for executives including travel arrangements, event planning, and confidential information management.
- Support office management activities such as coordinating repairs, managing office equipment, and overseeing clerical functions like proofreading and filing.
- Deliver exceptional customer service by addressing inquiries promptly via phone or email while maintaining excellent phone etiquette.
- Facilitate communication across departments by organizing schedules, preparing agendas, and supporting team coordination efforts.
Qualifications
- Proven experience as an executive assistant or in a similar administrative role within an office environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Demonstrated experience with office management duties including filing systems, clerical work, and supply management.
- Exceptional communication skills—bilingual abilities are a plus—and professional phone etiquette.
- Experience with multi-line phone systems and front desk responsibilities is highly desirable.
- Knowledge of bookkeeping software such as QuickBooks or similar tools is preferred.
- Ability to handle confidential information discreetly with strong proofreading skills for document accuracy.
- Personal assistant experience or medical/dental receptionist background is advantageous for understanding specialized workflows.
