Job Summary
The Procurement & Logistics Coordinator is a hands-on, high-impact role responsible for managing processes from purchase order through final delivery and invoicing.
This position sits at the center of operations—coordinating equipment orders, managing inventory, supporting logistics, and communicating with customers and partners to ensure successful execution.
In a small, fast-paced environment, this individual will wear multiple hats and play a key role in keeping projects organized, on schedule, and aligned with customer expectations.
Key Responsibilities
· Own and manage projects from purchase order through delivery and invoicing
· Process and track HVAC equipment orders with manufacturers and suppliers
· Coordinate logistics, including shipping, delivery timing, and jobsite needs
· Manage and support inventory levels, ensuring proper stocking of equipment
· Communicate directly with customers, contractors, engineers, and vendors
· Track project costs, order status, and timelines to ensure accuracy and alignment
· Maintain organized project documentation, order logs, and status updates
· Identify and resolve issues related to scheduling, materials, or logistics
· Support continuous improvement across procurement, inventory, and project execution
Qualifications
- 1–5 years of relevant experience in procurement, logistics, inventory management, or similar
- Experience in HVAC, construction, mechanical equipment, or a related industry strongly preferred
- Experience with QuickBooks, HubSpot, or similar accounting, CRM, or inventory management systems
- Proven ability to manage multiple priorities in a fast-paced environment
- Strong communication skills and ability to work cross-functionally
- Ability to occasionally lift, carry, and move materials weighing up to 50 pounds, with or without reasonable accommodation
