We are currently seeking a detail-oriented and dependable Part-Time Bookkeeper / Administrative Assistant to join our growing team. This position offers flexible scheduling (2–3 days per week, typically between 9:00 AM – 4:00 PM) and the opportunity to contribute to both our financial operations and day-to-day center management.
Key Responsibilities:
- Record day-to-day financial transactions and complete the posting process in QuickBooks
- Assist with accounts receivable and accounts payable functions
- Reconcile daily attendance of clients and flag any absences
- Communicate with families regarding billing statements and account questions
- Collaborate with our payroll company and external accounting firm
- Manage data entry, financial reports, and monthly reconciliation
- Support with budgeting and financial forecasting tasks as needed
- Handle minor human resources functions, including timesheet collection and verification
- Ensure compliance with Florida AHCA standards, infection control, and safety procedures
- Assist with Phone answering
Qualifications:
- Proven bookkeeping experience
- Proficiency in QuickBooks (Proficient to Expert Level)
- Strong understanding of bookkeeping principles, including debits/credits and account reconciliation
- Hands-on experience with Microsoft Office (Excel, Word, Outlook) and spreadsheets
- Excellent organizational and communication skills
- High degree of accuracy, attention to detail, and discretion
- Customer service orientation with a professional and friendly demeanor
- Experience with budgeting, forecasting, and working with small businesses preferred
Working Conditions:
- Primarily indoor adult day care environment with moderate physical activity
- Frequent standing, walking, bending, and occasional assistance with participant transfers
- Regular interaction with a diverse participant population, including elderly and disabled adults
Additional Requirements:
- Must complete Level 2 Background Screening (per Florida AHCA regulations)
- Attend orientation and annual in-service training as required
- Comply with infection control, emergency preparedness, and safety procedures
- Flexible scheduling required (availability between 9:00 AM – 4:00 PM, 2–3 days per week)
