Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our Executive Vice President of Business Development. The ideal candidate will possess exceptional administrative skills, demonstrate strong attention to detail, and excel in managing complex schedules and communications. Responsibilities
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Prepare, proofread, and transcribe correspondence, reports, and presentations with accuracy and professionalism.
- Handle incoming phone calls with excellent phone etiquette, directing inquiries appropriately and maintaining positive communication.
- Organize and maintain filing systems—both electronic and paper—to ensure quick retrieval of documents and compliance with organizational standards.
- Assist with event planning for meetings, conferences, and organizational events, including logistics coordination and material preparation.
- Perform data entry tasks accurately within various software platforms such as QuickBooks, Microsoft Office Suite, and DocuSign.
- Provide general office management duties including front desk reception, clerical support, bookkeeping, and customer service to ensure a welcoming environment for staff and visitors.
Qualifications
- Proven experience as an executive assistant or in a similar administrative role within a professional office setting.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
- Familiarity with QuickBooks for bookkeeping purposes is preferred.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional written and verbal communication skills along with professional phone etiquette.
- Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times.
- Experience with project coordination, event planning, transcription, proofreading, and office management is highly desirable.
