Responsibilities
- The Office Coordinator position is a key role that works with all departments to ensure the facility runs smoothly. This position is responsible for the administrative office, maintaining and updating business documents, troubleshoot technology, and overseeing contracted services. They are also the first point of contact for the building operations, including maintenance, repairs, and tenant issues. The Office Coordinator coordinates with scheduling volunteer maintenance and custodial.
In addition, the Office Coordinator is the administrator of the donor database and works closely with the Executive Director on administrative responsibilities, such as compiling statistics and data for grants, publications, and board meetings. This role also coordinates the Clinic website, social media accounts, and other printed and/or electronic materials, under the supervision and direction of the Executive Director.
This is a non-exempt position of 28 hours per week. Required office hours are Mondays - Thursday - hours to be determined. The clinic is closed on Fridays.
Job Duties
Day-to-day office administrative operations
· Coordinate facility management
o Coordinate maintenance needs
o Maintain computer and physical equipment inventory spreadsheet
o First point of contact for contracted services
· Coordinate general operation of the clinic
o Monitor and order supplies and print materials
o Provide office orientation to new volunteers and staff
o Coordinate meal provider schedule
o Report concerns to the Executive Director
o Schedule and participate in staff meetings in a professional manner
· Assist with annual operations budget based on services provided
· Technology
o First point of contact for internal technical support for computers, software, and office equipment and coordination with the IT consultant
o Maintain the website and social media accounts under direction of Executive Director
o Management of donor database
- Post open job positions on website and job boards & conduct candidate phone screenings
· Generate monthly board reports
- Maintain the general filing system
- Assist the Executive Director as needed in various administrative responsibilities
- Compile statistical data and information for reports, grants, and printed materials
Experience
- · Minimum 2 years of administrative experience required
· Experience in processing donations in donor databases
Skilled in office equipment and computer systems
· Strong decision-making skills, verbal and written communication skills, diplomacy, tact, confidentiality, flexibility, and attention to detail
· Flexibility – the work environment requires quick changes in routine and work with multiple personality types, including staff, patients, volunteers and vendors
· Ability to respect and adhere to policies and protocols
· Demonstrated ability to work independently and within a team structure
· Strong organizational skills with the ability to prioritize
· Demonstrated problem-solving skills as evidenced by adaptability

· Working knowledge of various software and database technology, which includes but is not limited to Microsoft Office and databases
