Role Overview
We are seeking a highly capable Executive Assistant to directly support the CEO. This is not a traditional administrative role — this position functions as an operational extension of leadership.
You will manage priorities, coordinate execution across production and business operations, and ensure that key workflows are completed efficiently and on time.
Key Responsibilities
1. Executive Support & Priority Management
Manage CEO’s calendar, scheduling, and shifting priorities across multiple companies and projects
Act as a gatekeeper for incoming communication and requests
Prepare summaries, briefings, and follow-ups for meetings and decisions
2. Production & Operations Coordination
Track progress across productions, studio bookings, and equipment rentals
Coordinate with producers, crew, vendors, and internal teams
Ensure deadlines, deliverables, and logistics are aligned and executed
3. Business & Administrative Execution
Assist with contracts, invoices, and payment tracking
Follow up on outstanding items (agreements, documents, approvals)
Support client communication and partner coordination when needed
4. Process & Systems Management
Organize and maintain internal workflows, databases, and documentation
Identify inefficiencies and implement structured processes
Support internal tools (Google Workspace, Notion, CRM systems, etc.)
5. Personal Support (as needed)
Handle limited personal logistics (travel, reservations, scheduling)
Maintain strict confidentiality and discretion
Qualifications
Required
2–5 years of experience in:
Executive Assistant / Producer Assistant / Coordinator / Startup Operations
Strong organizational and prioritization skills in fast-paced environments
Excellent written and verbal communication skills (English required)
Ability to manage multiple parallel workflows without losing detail
High level of ownership, reliability, and accountability
Preferred
Experience in film production, media, or creative industries
Familiarity with production workflows (shoot schedules, crew coordination, etc.)
Experience supporting founders, executives, or high-growth teams
Compensation
Competitive salary based on experience ($6,000 – $9,000 / month)
