The Owen School at Children’s Home Society of South Dakota is seeking a School Administrative Assistant to provide administrative/clerical/planning support to the Children’s Home educational team in the Rapid City Area Schools location and serve as a receptionist in accordance with the organization’s Mission, Vision, and Values.

Administrative & Clerical Support
- Answer and route phone calls, and distribute messages appropriately.
- Receive, sort, and distribute incoming mail; prepare and send outgoing mail.
- Perform data entry, filing, and other clerical duties as assigned.
- Assimilate and type reports, notes, letters, forms, meeting minutes, and related materials as assigned.
- Greet staff, board members, professionals, and clients/youth in a professional and welcoming manner.
- Track and monitor documentation and training timelines, medical appointments, treatment plans, psychiatric appointments, evaluations, discharges, fleet vehicle maintenance, and staff/client trainings.
Scheduling & Coordination
- Schedule appointments for fleet vehicles and therapy sessions, as assigned.
- Notify and prepare for meetings, track schedules, and assist with meeting logistics, including minute-taking.
- Make travel arrangements as assigned.
- Coordinate and assist with mass mailings.
Operations & Program Support
- Assemble folders as needed for Educational staff.
- Track program statistics and prepare related reports as needed.
- Send reports and documentation as appropriate.
- Collaborate with the other agency personnel to support program operations.
- Participate in quality improvement activities and required in-service trainings.
- Provide notary services, as assigned.
Facility & Meeting Preparation
- Maintain cleanliness and organization of common areas, including the kitchen, conference room, and mail room.
- Set up for board and teleconference meetings, including connecting equipment and arranging meals.

Requirements
Education:
- High School Diploma required.
Experience
- One year of administrative experience is desirable.
Skills
- Knowledge of and ability to use personal computers and software used in the office.
Physical Demands and Work Environment:
- Regularly in normal office environment. Extended periods of PC viewing and keyboarding required. Extended periods of sedentary work required.
