Position Title: Executive Secretary
Starting Pay: $18.00 per hour
Schedule: Monday–Friday, 9:00 a.m. – 5:30 p.m.
Position Summary
The Executive Secretary serves as the first point of contact for families, staff, and visitors while providing administrative support to the Executive Director and ensuring the daily operations of the office run smoothly. This position requires excellent communication, strong organizational skills, attention to detail, and the ability to multitask in a fast-paced childcare environment. The Executive Secretary may also assist in classrooms when needed to help maintain appropriate staffing ratios.
Qualifications
- High school diploma or equivalent required.
- Previous administrative or office experience preferred.
- Strong communication and customer service skills.
- Excellent organizational skills and attention to detail.
- Proficiency with computers, email, and office software.
- Ability to maintain confidentiality of children, families, and staff.
- CPR and First Aid Certification (provided by The Children’s Center).
- Must complete all required background checks.
- Must remain in compliance with all required annual licensing and professional development training.
Essential Responsibilities
- Welcome and assist parents, families, staff, and visitors in a friendly and professional manner.
- Answer phones, respond to emails, and direct inquiries appropriately.
- Maintain daily attendance records and verify attendance accuracy.
- Process parent billing and maintain accurate billing records.
- File invoices, children’s records, and other confidential documents.
- Obtain, organize, and record required paperwork for children and staff.
- Maintain organized and accurate office files and records.
- Keep the office clean, organized, and presentable at all times.
- Communicate effectively with staff, families, and administration.
- Assist classrooms as needed to ensure adequate supervision and staffing.
- Support the Executive Director with administrative tasks and special projects.
- Follow all Children’s Center policies, licensing regulations, and confidentiality standards.
Physical Requirements
- Ability to sit, stand, walk, bend, and lift up to 30 pounds.
- Ability to move throughout the center and assist in classrooms when needed.
- Ability to use office equipment, including computers, printers, and telephones.
Work Environment
This position is primarily based in an office setting within a licensed childcare center but requires flexibility to assist in classrooms as needed. Professionalism, teamwork, and a positive attitude are essential to providing exceptional service to our children, families, and staff.
