What are the responsibilities and job description for the Assistant Warehouse Manager position at CHILD LIFE Essentials?
The Assistant Warehouse Manager is to assist the Warehouse Manager in overseeing all aspects of the Warehouse at ChildLife® Essentials, including employee management, shipping, receiving, pest control, maintenance, groundskeeping, and inventory control.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Planning & Coordination
- Work with the Warehouse Manager in reviewing open sales orders to create a daily order processing timeline and ensure scheduled shipment dates are met.
- Ensure team priorities align with outgoing order timelines, projects, and special orders.
- Review closed packets for accuracy before submission.
- Review BOL / ASN completion across Domestic and International orders.
- Assist with and follow up on open sales order issues.
- Review picked orders for accuracy.
- Communicate labeling projects and product inspections to the Inventory and Quality Teams.
- Create & review BOLs and booking confirmation.
- Assist with scheduling incoming shipments of finished products and components.
- Assist with the proper put-away of finished products and components in Warehouse.
- Assist with scheduling outgoing orders, labeling projects, etc.
- Assist with cycle counts and physical inventory counts.
- Act as a point of contact for:
- RF issues
- Label related escalations
- Pick list or Allocation issues.
- Inventory issues
- Assist with various duties / tasks as seen necessary and directed by the Warehouse Manager, Executive Team, or Ownership.
Communication & Documentation
- Review team communication to ensure alignment (sales order adjustments, label updates, etc.)
- Work with Finance team on sales order documentation errors and ensure correction is applied.
- Draft or revise SOPs of recurring tasks / processes (packet review, label coordination)
- Provide team-wide updates in the Warehouse Managers absence
SUPERVISORY RESPONSIBILITIES
Support and Oversite
- Assist in overseeing all employees in the Warehouse which include bi-annual performance evaluations and day-to-day performance reviews.
- Ensure warehouse employees are maintaining the warehouse and grounds in a neat, orderly fashion.
- Ensure employees are following a culture of safety and compliance.
- Ensure all Warehouse Policies, Processes, and Time-Keeping Policies are being followed and report all non-conformances and deviations from established procedures to the Warehouse Manager.
- Assist in the performance of internal audits of the warehouse by providing information as required during audits, to include audits performed by government regulators and third-party agencies
- Assist in all aspects of facility maintenance, to include scheduled and non-scheduled forklift maintenance.
- Assist in overseeing the scheduling / receiving of all incoming shipments, warehouse supply orders, or miscellaneous orders as needed.
- Ability to interact with employees in a professional and respectful manner.
EDUCATION AND EXPERIENCE
To perform the essential duties and responsibilities of this job in a satisfactory manner, the Assistant Warehouse Manager shall have:
- At least three years in a warehouse environment, preferably in a GMP regulated environment in the food, pharmaceutical, medical device, and / or nutraceutical industry.
- 1-2 years of supervisory experience, or in a leadership role overseeing a team
- Language, mathematical aptitude, and reasoning abilities sufficient to allow for the completion of the job duties outlined herein.
- Experience with:
- Enterprise Software Systems (ERP).
- RF Devices.
- Working with Freight Brokers and LTL Carriers to schedule pickups via email or through the Carriers Company Portal.
- Stand-up Forklift experience.
- Meeting project / report deadlines while communicating effectively.
- Conducting Trainings, Evaluations, and providing Constructive Feedback to team members.
- Fluency with the Microsoft suite of office products.
- Ability to work in a team environment, build a rapport with co-workers, and other department personnel.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
The Assistant Warehouse Manager shall be exposed to conditions as expected in a typical warehouse setting, to include exposure to vapors and herbal aromas, as well as moderate noise levels, and shall regularly be required to:
- Stand for prolonged periods of time.
- Sit and perform work in front of a computer.
