Chief of Staff KC is partnering with a client in the Kansas City Metropolitan area to find a personable, organized, and professional Receptionist. This individual will play an important role in creating a welcoming experience for everyone entering the office while supporting customers and the team with order coordination, data entry, and various administrative responsibilities.
Responsibilities
- Serve as the first point of contact by welcoming guests, customers, vendors, and other visitors to the office.
- Manage incoming calls, direct inquiries to the appropriate team members, and assist customers with general questions.
- Deliver responsive customer service through phone, email, and in-person interactions.
- Accurately input and update customer and order details within company systems.
- Follow customer orders from placement through delivery, keeping information current and communicating updates when necessary.
- Respond to customer questions related to orders, products, deliveries, and other service needs.
- Maintain organized and up-to-date customer and order records.
- Partner with internal departments to address customer needs, resolve issues, and ensure orders are handled efficiently.
- Sort and distribute incoming mail, packages, and deliveries throughout the office.
- Keep the front desk and reception area professional, neat, and inviting.
- Provide support with routine administrative responsibilities and other office needs.
- Balance front-desk, customer service, and administrative responsibilities while remaining attentive to detail and maintaining a positive attitude.
Qualifications
- Prior experience in reception, customer service, front desk, or an administrative environment is preferred.
- Strong interpersonal and communication skills with the ability to interact professionally with a variety of individuals.
- Welcoming, approachable, and service-oriented personality.
- Excellent attention to detail, particularly when entering or maintaining information.
- Strong organizational and time-management abilities with the flexibility to shift between priorities.
- Comfortable working with computers, email, Microsoft Office, and other business systems.
- Reliable follow-through and a proactive approach to customer service.
- Dependable team player who is willing to jump in and provide support wherever needed.
