Position Overview

An established Kansas City law firm is seeking an experienced Legal Office Manager / Firm Administrator to oversee day-to-day office operations and support a tenured team of attorneys, paralegals, and administrative professionals.

This is a hands-on leadership position within a smaller, high-volume legal environment. The Office Manager will oversee administrative staff, maintain efficient back-office processes, help coordinate legal and administrative workflows, and ensure important deadlines and operational needs are consistently handled.

The ideal candidate will bring a strong background in office or administrative management and be comfortable balancing people leadership with hands-on operational responsibilities. Previous law firm experience is highly beneficial, although the firm is open to candidates from other high-volume professional environments who can quickly learn legal processes and terminology.

Key Responsibilities

  • Oversee daily office operations and administrative workflows for a busy legal practice
  • Manage, support, train, and provide direction to administrative staff
  • Coordinate workflow between attorneys, paralegals, and administrative team members
  • Help ensure legal and administrative work is appropriately prioritized and completed within required deadlines
  • Maintain awareness of court filing requirements, case-related deadlines, and time-sensitive legal correspondence
  • Support processes surrounding court filings, legal documents, case records, and other firm documentation
  • Help maintain organized physical and electronic client and case files in accordance with firm procedures
  • Ensure confidential client, case, financial, and personnel information is handled appropriately
  • Monitor administrative processes that support a high volume of active legal matters
  • Partner with attorneys and firm leadership to address staffing, workload, workflow, and operational needs
  • Assist with onboarding and training employees on firm procedures, systems, and administrative requirements
  • Help establish and maintain consistent procedures for document management, recordkeeping, calendaring, and deadline tracking
  • Identify opportunities to improve administrative processes and overall office efficiency
  • Assist with vendor relationships, office services, technology coordination, and other back-office responsibilities
  • Serve as a resource for staff regarding firm procedures and day-to-day operational questions

Qualifications

  • Previous experience managing administrative, office, or support staff
  • Strong organizational, leadership, and follow-through skills
  • Comfortable managing a high-volume, deadline-driven workflow
  • Ability to manage employees while remaining hands-on with daily operations
  • Strong attention to detail and an understanding of the importance of accuracy in a legal environment
  • Ability to handle sensitive and confidential information with discretion
  • Law firm, legal administration, or professional services experience is strongly preferred
  • Familiarity with court filings, legal deadlines, case management processes, or legal documentation is beneficial
  • Collections, creditors' rights, litigation support, or another high-volume legal background is a plus
  • Comfortable learning legal terminology, court procedures, and firm-specific processes
  • Strong written and verbal communication skills with the ability to work effectively with attorneys and support staff

Work Environment

This is a close-knit, established office with a highly tenured team and a casual but professional working environment. The firm places a strong emphasis on treating employees respectfully while maintaining a sustainable work/life balance.
