Chicanos Por La Causa, Inc. (CPLC) is a non-profit organization and one of the largest Hispanic Community Development Corporations in the United States. The organization began with a group of student and community activists in 1967, and was incorporated and received non-profit status in 1969  to fight discrimination against the Mexican American community. Inspired by Dolores Huerta and Cesar Chavez, we advocated for equity in education, politics, and labor conditions. CPLC is committed to empowering individuals through health & human services, housing, education, and economic development.  Today, CPLC provides services to people of all backgrounds while honoring our Mexican-American roots.

OBJECTIVE AND POSITION SUMMARY

The Legal Operations Assistant is a cross-functional position and is generally responsible for providing support to the Legal Department attorneys and staff through assistance with operational functions, contract management, transactions, litigation support, governance, maintenance of the Legal Department systems, and support to the Legal Department attorneys and staff in all areas as needs arise. The Legal Operations Assistant will ensure an exceptional level of client service is provided at all times and will work with minimum supervision in performing the day-to-day work responsibilities. The Legal Operations Assistant will partner with their peers in providing legal services to our internal clients – the employees at Chicanos Por La Causa who empower lives through five pillars of service: Integrated Health & Human Service, Education & Social Services, Economic Development, Housing and Advocacy.

SPECIALIZATIONS

  • Sound judgment, a commitment to compliance and confidentiality, superior written, verbal and interpersonal communication skills and attention to detail are essential functions of this position.
  • The Legal Operations Assistant must possess a high ethical standard, integrity, a strong professional work ethic, loyalty and the ability to work in a team-oriented environment.
  • This position requires regular communication orally and in writing with internal and external legal staff in face-to-face and video one-on-one settings, group settings, by telephone and by e-mail or regular correspondence.
  • Candidate should have (or will be required to obtain) an active Arizona Notary Public Commission.

 

PRIMARY DUTIES AND ESSENTIAL FUNCTIONS

  • This position requires skill in MS Office suite software applications.
  • Calendar, schedule, and monitor litigation and transactional meetings, matters and deadlines.
  • Maintain Legal Department files, including litigation files, affiliate and subsidiary files, and contract files, in an efficient, accurate, and organized manner.
  • Oversee review of files and archives to eliminate duplication of data and archive or destroy files no longer in use.
  • Manage record retention, storage control files, delivery schedules, and record protocols.
  • Maintain Legal Department systems, including Legal Tracker, HighQ, and hCue, including processing and entering contracts metadata information.
  • Ensure affiliate and subsidiary entities are maintained in compliance with various laws and regulations, including coordinating annual meetings, entity filings and amendments, and annual reports.
  • Provide support on operational functions such as office tasks, coordinating with internal and external departments, triaging new matters and requests, processing mail, maintaining equipment and supplies, and other administrative tasks as needs arise.
  • Prepare, format, and edit correspondence and documents.
  • Provide support to Governance for matters involving Board of Directors.
  • Work closely with Legal Operations Manager and other organizational leadership to ensure Legal Department operations are aligned with organizational goals and responsibilities, to improve operational processes and best practices, and to implement improvements to increase efficiency and effectiveness within the Legal Department.
  • Ensure compliance with CPLC policies, state and federal laws, and applicable regulations.
  • Provide support to CPLC departments and programs, including coordinating meetings, responding to requests from internal and external individuals, and assisting with various projects.
  • Provide input, assistance, and support for any special projects as assigned.
  • Support Legal Department attorneys and staff in all areas as needs arise, including but not limited to, litigation, contracts, mergers and acquisitions, transactions, and entity management.
  • Exercise discretion and independent judgment in appropriate situations.
  • Maintain confidentiality in all areas of the service population, operations, and administration.
  • Work evenings, weekends and holidays as needed or requested by position supervisor.
  • Other duties as assigned to meet programmatic, departmental and agency needs.

 

 

MINIMUM QUALIFICATIONS AND COMPETENCIES

Education/Background:

  • Four to six (4-6) years of experience as an administrative or executive assistant working in a professional environment.
  • High School diploma is required.
  • Experience managing a high volume of work.
  • Excellent oral and written communication.
  • Demonstrated diplomacy and ability to offer dissenting points of view in consistently constructive and positive ways. 
  • Ability to generate respect and trust from staff while fostering cross-functional collaboration and a strong sense of teamwork.
  • Alternative combinations of education and experience may be considered to meet the qualifications of this role.

  • Strong organizational skills and the ability to manage multiple projects.
  • Ability to identify critical issues and brainstorm resolutions, prioritize tasks, manage time efficiently, and a willingness to handle all levels of work assigned
  • Ability to work independently while maintaining a team-oriented mindset.
  • A wide degree of creativity, latitude, and knowledge to meet the challenges faced by this position.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams).
