What are the responsibilities and job description for the Executive Assistant Office Manager position at Chew?
Location: Boston, MA
Role Type: Full-time, on-site
Company: CHEW - Plus new company Pivot!
CHEW is a food innovation lab reimagining what is possible in packaged food. We partner with companies of all sizes — from emerging brands to global CPG leaders — to create products that are delicious, nutritious, commercially viable, and built to scale.
Our team brings together chefs, food scientists, strategists, operators, and manufacturing experts who move fast, think deeply, and turn early-stage ideas into market-ready products in days or weeks, not months or years. We believe better food is possible, and we are building the team, systems, and culture to prove it.
We are looking for a rare kind of person: someone who brings order, energy, precision, and momentum into every room they enter.
This is a combined Executive Assistant and Office Manager role, but it is not a traditional administrative role. This is a role for an order maker, not an order taker.
We need someone who sees what is missing before anyone asks. Someone who notices the small details because they understand that details are what make a company feel excellent. Someone who can support senior leadership, run the rhythm of the office, anticipate needs, improve systems, and help create an environment where ambitious people can do their best work.
The right person will be the heartbeat of the office: warm, proactive, highly organized, technologically fluent, and relentlessly dependable.
What You’ll OwnYou will support senior leadership while also making sure the office operates with clarity, polish, and energy every day.
This includes:
- Managing complex calendars, scheduling, travel, meetings, and follow-ups with precision.
- Supporting the CEO and senior leadership with administrative, operational, and communication needs.
- Preparing meeting materials, presentations, reports, agendas, and recaps.
- Keeping leadership organized, prepared, and ahead of what is coming next.
- Acting as a central point of contact for visitors, partners, clients, vendors, and team members.
- Creating a welcoming, professional, high-energy office environment.
- Managing office supplies, equipment, conference rooms, vendors, deliveries, invoices, and day-to-day logistics.
- Supporting onboarding and the employee experience for new team members.
- Helping coordinate internal meetings, client visits, team events, and company moments.
- Identifying inefficiencies and building better systems before anyone has to ask.
- Bringing structure to ambiguity and calm to complexity.
We are not looking for someone who waits for instructions.
We are looking for someone who walks into the office and instinctively sees the gaps: the meeting that needs prep, the room that needs resetting, the vendor issue that needs chasing, the calendar conflict that needs resolving, the process that needs tightening, the visitor experience that could be elevated, the leadership follow-up that cannot fall through the cracks.
You should take pride in making the entire company feel more organized, more thoughtful, more prepared, and more professional.
You should love turning chaos into clarity.
What We’re Looking ForThe ideal candidate is:
- A true self-starter with exceptional follow-through.
- Detail-obsessed in the best possible way.
- Highly organized, calm under pressure, and able to manage multiple priorities at once.
- Warm, polished, and confident with internal teams, clients, partners, and visitors.
- Comfortable supporting senior executives in a fast-moving environment.
- Technology-native and excited by tools that improve productivity.
- Experienced with modern productivity platforms such as Google Workspace, Microsoft Office, Slack, Notion, Asana, Monday, Airtable, ChatGPT, scheduling tools, expense platforms, and other systems that help teams move faster.
- Resourceful, practical, and solutions-oriented.
- Trustworthy with confidential information.
- Energized by being on-site and deeply involved in the daily rhythm of the business.
- Excited by food, innovation, startups, CPG, or high-growth environments.
You should bring:
- Proven experience as an Executive Assistant, Office Manager, Administrative Lead, Operations Coordinator, or similar role.
- Experience supporting senior leaders, founders, executives, or fast-moving teams.
- Strong written and verbal communication skills.
- Excellent calendar, meeting, travel, and logistics management skills.
- Experience managing office operations, vendors, supplies, equipment, and workplace needs.
- Confidence using productivity software, scheduling systems, expense tools, document platforms, and communication tools.
- The ability to work full-time on-site in Boston, MA.
Startup, creative agency, food, CPG, hospitality, innovation, or high-growth company experience is a strong plus.
