Marketing ManagerOverview:Under the direction of the Practice Administrator and Marketing Committee, assists in driving the promotion of CDA’s brand awareness, community outreach efforts and digital marketing initiatives. All responsibilities are to be fulfilled in a manner consistent with the professional, caring philosophy of Chestnut Dental, and which upholds its core values of Integrity, Excellence, Collaboration and Community.Reports To: Practice Administrator, Marketing Committee, PartnersPhysical Requirements:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to type, file or lift office supplies weighing up to 20 pounds. The employee is frequently required to sit, stand, talk and hear.Responsibilities:Special Events / Promotional Events• Coordinates with Marketing Committee on promotions and special events• Brainstorms ideas for promotions, create timeline and oversee execution of office-wide promotions (i.e. raffles, contests) and continually research promotional products (i.e. Pop Sockets)• Assists Administrator and Partners with action items as necessary• Promo Item & Print Lead – Susan M. is responsible for much of this.o Coordinates logistics between offices and create/distribute materials for promotional events – with help from Susan M. who has overall practice wide responsibility.o Ensures appropriate/current forms are distributed in office and that outdated forms are discarded (ordering of marketing supplies to be conducted by Purchasing Coordinator) – CD keepo Oversees patient goodie bag inventory in Franklin – CD keep• Event & Sponsorship Lead-o Coordinates logistics of CDA participation in events and sponsorships Marketing team members responsible for staffing of events for their respective office and event prep with respect to any goodie bags or other supplies necessary for event. Share event details and maintain google doc calendars with other team members. Maintain copies of all sponsorship ads submitted on J:/ drive.• Maintains occasional presence in Needham as needed to coordinate details of event participation and marketing programs. Implementation of programs to be handled mostly by Needham team members and staff. ensure successful management/inventory of all promotional items, activities and event management – Continue current distribution of this btw Susan/Peter and CD.Community Outreach• Directly responsible for coordination of Franklin-specific community outreach efforts, including maintenance of contact log, scheduling and coordinating staff and supplies for nursery school visits, fairs and other outreach events. Leverages and provide support to/from Needham and Bedford coordinators as needed. -Find new [break this task up into scheduling/supplies and coordinating staff/staffing events. CD to maintain responsibility for scheduling, fair prep, other team member to be responsible for coordinating staff/staffing events.• Communicates community outreach and service opportunities to all CDA staff members – CD keep• Attends fairs local to Franklin office – Find new• Responsible for coordinating holiday gifts for referring physicians (engage Linda’s support if needed) – CD keep• Implements/Executes Halloween Candy Buy Back (support from site-specific coordinators) and other holiday events – CD keep• Assists committee in implementing new services/initiatives, welcoming new doctors, etc. – CD keep• Forwards all requests for sponsorship to Wendy Carr for review -CD keepo Maintain google calendar of events and marketing ads submitted on J driveDigital Marketing & Social Media – CD keep• Oversee and maintain company website and digital presence on the approved social media platforms• Manage CDA’s doctor blog posts and share on CDA website, FB and with CDA employee community• Monitors reviews of Chestnut Dental on Angie's List, YELP, and Google, as well as social media comments, and forwards those requiring response to Wendy Carr, along with patient background required for responses.• Adds and revises website/social media content as necessary and coordinate with web host on troubleshooting and/or design changes• Stays current on industry news / awareness events (i.e. National Dental Assistants Week, Oral Health Month, etc.), share as appropriate with committee ideas for social media posts/patient education/promotional opportunities and share with patients and CDA employees.• Monitors Google Alerts for news related to dentistry and orthodontics• Stays current on and shares Chestnut Dental news with social media and internal communities as appropriate• Ongoing maintenance of practice-wide slideshow presentations• Sends review requests to patients• Helps to monitor digital reponses to patient review requests via Bird Eye dashboard. (TBD)New Patient Tracking/Communication – CD keep (add Needham?)• Franklin Referral Trackingo Coordinate and Send Out Thank You Notes for New Patient Referralso Spreadsheet reviewing NP charts for referrals in Franklin• Welcome to the Neighborhood letters & brochure mailingso Christine to manage support staff and process• Patient Forms – maintain and update patient forms to ensure that all forms are current and professionally printed/copied. Assist in transition to digital forms.Administrative Responsibilities• Sends Wendy and Peter weekly update/agenda for the week’s goals and objectives by Monday at 2pm• Attends weekly marketing coordinator call to review current tasks, and to provide project updates, support needs, important event recaps, insights, feedback, new ideas, etc.• Adheres with all policies and procedures outlined by Chestnut Dental Associates and by the CDA safety, OSHA and HIPAA programs• Performs other duties as assignedCompetencies:• Demonstrates exceptional interpersonal skills and is proficient in written and oral communication.• Maintains outgoing, friendly attitude with patients and staff, exhibiting compassionate, professional and ethical behavior at all times with a focus on customer service.• Ability to effectively manage time and multiple priorities in a high volume, fast-paced environment, as well as managing through schedule interruptions and changes.• Communication, follow up and follow through are essential.• Supports doctor leadership team and works cooperatively with doctors, administrator, managers, supervisors and colleagues.Chestnut Dental Associates is an Equal Opportunity Employer.
