THIS IS A NON PROFIT ORGANIZATION AND THE JOB RUNS FULL TIME FROM SEPTEMBER TO MID-DECEMBER. OTHER HOURS THROUGHOUT THE YEAR MAY BE NECESSARY IN ORDER TO PREPARE.
Responsibilities
- Greet visitors and manage front desk activities with professionalism and warmth, creating a positive first impression
- Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette
- Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications
- Manage calendar scheduling, appointments, and meetings using Google Workspace and Microsoft Office tools
- Support office management tasks such as supply inventory, equipment maintenance, and basic math skills
- Assist with clerical duties including copying, scanning, mailing, and preparing correspondence or reports
- Provide excellent customer service by supporting internal teams and responding efficiently to inquiries from clients or visitors
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Efficiency with data entry.
- Experience with office management functions including calendar management, filing systems, and data entry
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Bilingual abilities are highly valued to assist diverse client needs and enhance communication within the team (but not necessary)
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication
- Previous office experience or clerical background that includes handling multi-line phones, proofing documents, and managing schedules (but not necessary)
