Important: This is a fully on-site role and requires a minimum of one (1) year of hands-on surgical scheduling experience. Candidates without direct experience will not be considered.
Position Overview
As a Surgical Scheduling Coordinator, you will serve as the central point of coordination for surgical cases—ensuring every detail is aligned across patients, providers, anesthesia teams, and surgical facilities. From initial scheduling through financial clearance, you will play a key role in delivering a seamless and well-prepared surgical experience.
What You’ll Do
Surgical Coordination
- Schedule and manage surgical cases with precision and efficiency
- Coordinate across patients, surgeons, anesthesia, and facilities to ensure readiness
- Ensure all required documentation (consents, H&Ps, pre-op testing, orders) is complete and compliant
- Clearly communicate pre-operative instructions and expectations to patients
- Proactively manage cancellations and optimize OR utilization by backfilling open time
- Track special surgical considerations (e.g., equipment needs, medical conditions)
- Resolve scheduling conflicts quickly and effectively
Insurance & Financial Coordination
- Verify benefits and secure prior authorizations
- Ensure accuracy of financial clearance for all procedures
- Prepare and confidently explain patient cost estimates
- Collect deductibles, co-insurance, and co-pays prior to surgery
- Serve as a knowledgeable resource for patient insurance and billing questions
- Partner with billing teams to minimize denials and delays
What You Bring (Required)
- At least 1 year of direct surgical scheduling experience (non-negotiable)
- Ability to work on-site in Owings Mills, MD (no remote or hybrid option)
- High School Diploma or GED
- Strong attention to detail and ability to manage multiple priorities

- Confidence discussing financial responsibility with patients
- Experience preparing estimates and collecting payments
- EMR proficiency (eClinicalWorks experience a plus)
- Strong communication, organization, and problem-solving skills
