LEGAL RECEPTIONIST
As a legal receptionist, you'll be the first point of contact for clients and visitors, handling phone calls, scheduling appointments, and managing administrative tasks to ensure a smooth-running legal office.
Key Responsibilities:
Front Desk Duties:
· Greeting visitors and clients
· Answering and directing phone calls
· Maintaining a clean and professional reception area, conference rooms, break area
· Managing reservation of conference rooms
· Handling/sorting mail and packages
· Assisting with accounting tasks
· Organizing internal events
· Managing kitchen and office supply needs
· Serve as point-of-contact for Office Maintenance and IT
Administrative Tasks:
· Maintaining records and filing systems
· Coordinating travel arrangements and scheduling
· Supporting attorneys and paralegals with legal tasks
· Responsible for generating forms and documents through Filevine
· Managing travel arrangements for clients and/or attorneys
· Manage CLE hours and conference registrations, as requested
· Assist with maintaining an updated list of protocols and procedures for the office
Key Requirements:
· High school diploma and some college preferred
· Spanish-speaking is essential
· Willingness to learn and eager to help and take initiative
· Excellent written and oral communication skills
· Superior organizational skills and ability to multi-task
· Proficiency with Microsoft Suite; Filevine experience a plus
· Ability to maintain client confidentiality
· Knowledge of legal terminology and processes
· Professional appearance
