The Coalition Assistant position is a full-time, 40-hour per week role (Monday–Friday, 9:00 AM–5:00 PM) and includes medical, dental, and vision benefits. Some local travel within Cheatham County and surrounding areas is required, with occasional in-state and out-of-state travel for training purposes. Evening and weekend work may be required based on program needs. This is an in-person position based at the coalition’s Ashland City office.
Position Summary
The Coalition Assistant is a community-facing support role that combines front office management, community engagement, and program assistance. This position plays a critical role in supporting coalition programming, coordinating events and trainings, building coalition membership, and ensuring smooth daily office operations.
The ideal candidate is highly organized, adaptable, and proactive, with the ability to take a hands-on approach to community outreach, prevention activities, and coalition support. The Coalition Assistant works collaboratively with staff, partners, and community stakeholders and reports directly to the Assistant Director.
Minimum Qualifications
- Live, work, or have a significant affiliation with Cheatham County.
- High school diploma or equivalent required; associate or bachelor’s degree preferred or at least one year of experience in community organizing or a health-related field.
- Must pass a background check and drug screen upon initial hire.
- Must possess a valid driver’s license and be able to travel locally (mileage reimbursed).
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Basic comfort using social media platforms (Facebook, Instagram, X) and digital tools such as Canva, SurveyMonkey, Wix, and Constant Contact.
- Strong written and verbal communication skills with the ability to build relationships with diverse community members and stakeholders.
- Ability to work independently, take initiative, and collaborate effectively as part of a team.
- Ability to lift up to 45 lbs. for event setup and office needs.
Duties & Responsibilities
- Serve as a welcoming point of contact for community members, partners, and visitors to the coalition office.
- Answer phone calls, respond to inquiries, and maintain organized digital and physical files.
- Manage front office operations, including office organization, inventory tracking, restocking, and ordering supplies.
- Assist with planning, coordination, facilitation, and implementation of coalition programs, prevention activities, trainings, and community events.
- Prepare materials and provide logistical support for meetings, trainings, outreach activities, and events.
- Assist with outreach, engagement, and relationship-building with community partners, sectors, and stakeholders.
- Represent the coalition at community events, meetings, and outreach activities.
- Assist with facilitation of educational programs and evidence-based prevention activities as needed.
- Assist with managing coalition social media platforms, including basic content creation, scheduling, and engagement.
- Support the development and distribution of outreach materials such as flyers, newsletters, and announcements.
- Track participation, attendance, outreach activities, and program outputs.
- Assist with data entry, data organization, survey distribution, and basic data summaries for reporting purposes (including Catalyst, TN WITS, and quarterly reports).
- Perform other duties as assigned by Assistant Director.
Pay: $45,000.00 per year
