Position Summary
The Project Coordinator supports the Supervisor of Elections Office by planning, organizing, and coordinating projects and activities throughout the election cycle and non-election periods. This position ensures efficient workflows, adherence to deadlines, and successful implementation of operational and outreach initiatives. The ideal candidate is detail-oriented, adaptable, and thrives in a fast-paced environment with a strong sense of public service and organizational integrity.
Essential Duties and Responsibilities
- Coordinate multiple projects throughout the year, including election preparation, voter outreach, administrative deadlines, and operational initiatives.
- Assist in developing project timelines, task lists, and workflow plans to ensure efficient execution and accountability.
- Monitor project progress and maintain clear communication among staff, vendors, and partner agencies.
- Track deliverables and maintain detailed project documentation, reports, and status updates.
- Support the planning and logistics for elections, including supply distribution, polling place coordination, and early voting setup.
- Serve as a liaison among internal departments to promote collaboration and ensure consistency of procedures and messaging.
- Identify potential workflow improvements to enhance overall office efficiency and service delivery.
- Maintain confidentiality of sensitive information in compliance with Florida election laws and public records requirements.
- Perform other related duties as assigned to support the mission and integrity of the Supervisor of Elections Office.
Minimum Qualifications
- Education: Associate’s degree or higher preferred; equivalent combination of education and experience may be considered.
- Experience: Minimum of three (3) years of professional experience in project coordination, office administration, or a related field.
- Skills:
- Strong organizational and time management abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management tools.
- Ability to prioritize tasks and meet strict deadlines.
- Strong interpersonal skills with the ability to work effectively in a team environment.
Preferred Qualifications
- Experience in a governmental, public administration, or election-related setting.
- Knowledge of Florida election laws, timelines, and procedures.
- Familiarity with database management or document-tracking systems.
Work Environment
- Work is performed primarily in a professional office setting with occasional duties at off-site election facilities.
- Must be available to work extended hours, evenings, and weekends during election periods.
Job Type: Full-time
Pay: $26.44 - $33.65 per hour
