Job Summary:

The Administrative Research Coordinator is responsible for providing comprehensive administrative support to the PRISM Director/RWJF HERA Director, HERA Co-director, and other research and coordinating center staff. This role involves managing financial activities, including purchasing, reimbursements, budget forecasting, tracking and reporting, human resources coordination, including coordination and tracking of subcontracts, and staff and student engagement as needed, ensuring that all project goals and objectives are met. The Administrative Research Coordinator also assists with grant proposal development, submission, and research dissemination, while serving as a key point of contact for internal and external stakeholders. This position requires a professional who can prioritize tasks effectively, work collaboratively in a team-oriented environment, and facilitate smooth project execution through effective communication and organizational skills.

Essential Duties and Responsibilities:
  • Provide administrative support to PRISM/HERA Director, co-director, and other program and research staff, including meeting and event planning, communication with university departments, and external organizations.
  • Lead evaluation data analysis efforts for PRISM.
  • Monitor grant funds and ensure compliance with CDU fiscal policies, coordinate with the CDU Office of Sponsored Programs for new funding requirements, and the CDU finance team for financial reporting and invoicing.
  • Handle purchasing and payment processing, including reimbursements, travel requests, and contractor payments.
  • Oversee student volunteer and internship placements, ensuring all necessary paperwork is completed.
  • Assist with the development and submission of grant proposals and reports, ensuring compliance with funding and university requirements.
  • Participate in research dissemination efforts, including manuscript and abstract submissions, and maintain an electronic reference library.

Other Duties and Responsibilities:

  • Conduct analysis of quantitative and qualitative evaluation data and summarize results.
  • Serve as a point of contact for individuals and organizations seeking information or assistance with projects and activities.
  • Maintain organization and documentation of all project-related activities.
  • Present research findings in scientific and local meetings as needed.
  • Performs other duties as assigned.

Qualifications/Requirements:

 EDUCATION:

  • Bachelor’s degree in a related field required. MPH degree preferred.

EXPERIENCE:

  • Minimum of three years of office or program management experience required.
  • Experience with grant proposal submission processes and managing research grants preferred.

KNOWLEDGE/ABILITY/SKILLS:

  • Proficiency in Microsoft Office, including Word, PowerPoint, Excel, and Teams.
  • Experience with SPSS, RedCAP and Qualtrics preferred
  • Experience with ERequestor/Fraxion systems preferred
  • Strong written, oral, and interpersonal communication skills.
  • Knowledge of grant budgeting and purchasing processes.
  • Ability to manage time effectively, prioritize tasks, and handle multiple responsibilities concurrently.
  • Ability to work well in team settings and communicate with diverse groups.
  • Knowledge of grant management and reporting requirements for federal agencies preferred.
  • Understanding of community-based research principles and strategies is an advantage.
  • Valid driver’s license and access to reliable transportation required.

Conditional Employment:

The employment status of this position is classified as “Conditional.” Conditional employment means that the job exists contingent upon continued funding and limitations of restricted funds or, the duration of a specific program, project, grant, or contract. Since your salary is funded by: Health Equity Research for Action, End Date: July, 31, 2026, and Population Research Institute for Science and Medicine, End Date: August 31, 2026,  your position is contingent upon the continued receipt of these funds.   Continuation of your position is dependent, in part, upon funding availability.  Furthermore, no work may be performed after the grant end date(s) unless you have received an extension in writing from a Dean, Division VP, or Human Resources.
