Duties
- Handle incoming and outgoing correspondence, including data entry, filing, and proofreading documents
- Maintain organized records through filing systems, digital databases, and document management tools like Google Workspace and Microsoft Office
- Assist with calendar management, appointment scheduling, and coordinating meetings for staff or clients
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and general clerical duties
- Provide excellent customer support by responding promptly to inquiries via phone or email and offering assistance as needed
Qualifications
- Proven experience in office administration or clerical roles with strong computer literacy skills
- Familiarity with front desk operations, multi-line phone systems, and office management software such as Microsoft Office and Google Workspace
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills with professional phone etiquette; bilingual abilities are a plus
- Experience in customer service or customer support roles demonstrating patience and professionalism
- Knowledge of data entry, filing procedures, proofreading, and basic bookkeeping (QuickBooks preferred)
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
- Ability to handle multiple responsibilities efficiently while maintaining attention to detail and time management
