Job Summary 


At Charitable Ventures, the Contract Administrator plays a mission-critical role in advancing large-scale regional investments that address some of our region's most pressing challenges. 


This position serves as the administrative and operational backbone for the California Jobs First, Regional Investment Initiative - Catalyst Program, a transformative effort to promote equitable economic growth. As the primary program administrator for Catalyst, the Contract Administrator will lead subcontractor oversight, ensure contract compliance with public funding requirements, and manage program workflows from start to finish. 


In addition to Catalyst, the Contract Administrator will support other public programs and internal contract administration efforts across the organization - bringing consistency, accountability, and innovation to Charitable Ventures’ growing risk and contract portfolio. Reporting to the Enterprise Risk & Analytics Manager, this role is vital in maintaining strong partnerships, operational excellence, and compliance standards across multiple initiatives. 


Key Responsibilities


Program and Contract Administration

·        Lead the day-to-day administration of the Catalyst Program and other public initiatives, ensuring, contracts, deliverables, and compliance requirements are met. 

·        Own the subcontractor administration lifecycle – from onboarding to monitoring, and compliance documentation. 

·        Oversee the public contract invoicing process by ensuring contract and financial documentation is accurate, complete, and timely. 

·        Manage “cradle-to-grave” contract cycles, including new agreements, amendments, and closeouts. 

·        Maintain organized and transparent communication between internal teams, external partners, and vendors. 

·        Apply contract management best practices to support operational efficiency, documentation integrity, and risk mitigation. 

·        Support systems development for tracking contract performance, deliverables, financials, and reporting. 

·        Prepare clear and actionable reports on contract-related correspondence, financial summaries, and performance reports for internal and external audiences. 

·        Ensure Catalyst program administration aligns with compliance standards and organizational goals. 


Risk Management and Compliance

·        Monitor and report on organizational risks related to vendor performance, contractual obligations, and compliance. 

·        Drive cross-functional compliance efforts, promoting contract integrity, risk mitigation, and process improvement. 

·        Champion data integrity and internal controls as part of CV’s broader risk management framework. 


Organizational Support

·        Contribute to cross-functional initiatives that improve contract and risk management systems. 

·        Provide guidance and training to internal staff and project teams on contracting procedures. 


What are the desired qualifications? 


Education:

Bachelor’s degree in Business Administration, Public Policy, Nonprofit Management, or a related field preferred. Equivalent professional experience may substitute for formal education.  


Experience:

  • Minimum 3–5 years of progressively responsible experience in contract and program management, ideally within a nonprofit, public agency, or consulting environment. 
  • Proven ability to manage multiple complex projects and relationships concurrently. 
  • Experience with subcontractor oversight, vendor management, and invoicing workflows required. 
  • Familiarity with risk management principles preferred. 


Compensation Commensurate with experience, education, and market ($28 - $36 per hour).
