Medicaid Grants Administrator (One-Year, 2026-2027, up to 0.5 FTE) Needed

The Champlain Valley School District (CVSD) is seeking a Medicaid Grants Administrator (up to 0.5 FTE) for the 2026-2027 school year. This position will oversee and facilitate the district’s Medicaid School-Based Services (SBS) program.

The Medicaid school based claiming program is changing and to ensure smooth implementation and continued compliant claiming, this role manages the transformation of the program. This includes partnering with building based Medicaid clerks to ensure that eligible services provided to students are accurately logged, verified, and submitted in full compliance with federal, state, and district regulations to maximize program reimbursement and maintain audit-ready documentation. This also includes partnering with leadership to communicate and implement district-wide changes.

Key Responsibilities

• Project management of the Medicaid school based program
• Assist with administering the Random Moment Time Study (RMTS) process, monitoring participant compliance, and providing training and support to participating district staff
• Support district leadership during state and federal Medicaid audits and compliance reviews
• Onboard and assist district staff with Medicaid logging software, monitor system user access roles, follow up on missing documentation, and serve as the primary liaison between the district, state agencies (VDH/AOE/AHS), and third-party software vendors.
• Partner with the Business Office to reconcile remittances, reimbursements, and cost reports.
• Generate compliance and revenue tracking reports, assist with annual reinvestment reporting, and perform related administrative duties
• Perform data management functions to ensure data compliance and integrity across systems for claiming and state/federal records retention.
• Coordinate access rights, role permissions, and records retention across district and state databases

Qualifications

• High school diploma or GED required; Associate or Bachelor’s degree in business, healthcare administration, accounting or a related field preferred.
• Experience in Medicaid billing, data management, and/or school district experience preferred.
• Exceptional attention to detail, strong organizational and communication skills, and strict adherence to FERPA and HIPAA confidentiality standards.

The Ideal Candidate Will Possess

• Proficiency in state and district Medicaid and special education platforms, specifically EdDocVermont, UMass Chan RMTS Portal, Gainwell Provider Management Module (PMM).
• Strong data management skills with proficiency in spreadsheet applications (Google Sheets, MS Excel) and database software (e.g. PowerSchool)
• Familiarity with Vermont Medicaid School-Based Health Services, Special Education (IEP) documentation, and RMTS protocols
• Self-starter with high adaptability
