We are seeking a highly organized and detail-oriented Receptionist/Office Assistant to join our dynamic team and provide essential support for our daily office operations. This role is ideal for a professional who thrives in a fast-paced environment and excels at multitasking. As the Receptionist/Office Assistant, you will be instrumental in facilitating communication and ensuring the seamless operation of our office. Additionally, you will perform critical administrative functions supporting both human resources and finance operations, directly reporting to the Controller. This is a key role for someone eager to contribute to the ongoing success and efficiency of Chalet Desserts.
Responsibilities:
- Answers and directs departmental phone calls in a professional manner.
- Facilitating communication and ensuring the smooth functioning of the office.
- Provide administrative support to the Human Resources and Finance department including data entry, organizing and maintaining shared files and resources in common areas.
- Prepare and distribute correspondence, memos, and reports.
- Take incoming mail, sort and distribute the mail in addition to other clerical functions and assist with general mailing needs.
- Greet guests at the door and check them in if necessary.
- Process employee paperwork and support employment matters such as pay statements, W2’s and ADP Workforce Now assistance.
- Create new hire packets, timecards and further support the onboarding experience.
- Maintain office filing systems and databases for the Human Resources and Finance departments, ensuring accurate and timely documentation.
- Prepares purchase orders and other errands for the office.
- Responsible for maintaining an organized and clean office area.
- Perform general clerical duties, such as photocopying, scanning, and filing
- Performs other related duties as assigned.
Requirements:
- Proven experience as an administrative assistant or similar role.
- Must have a valid CDL.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint.)
- Bilingual in Spanish (required.)
- Excellent organizational and time management skills
- Strong verbal and written communication abilities.
- Ability to prioritize tasks and work efficiently under pressure.
- Attention to detail and accuracy.
- Discretion and confidentiality in handling sensitive information.
- High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
- Must be professional, courteous, and service-oriented.
Hours:
This position requires the individual to work from 7am – 3:30pm, Monday – Friday.
Benefits:
The hiring pay range for this position is $18.00 - $20.00 hourly. The pay rate for a successful applicant depends on a variety of factors including but not limited to geographic location, work experience, education, and/or skill level.
