Answering phone calls and managing the lobby, front desk area and Conference room.This includes assurance that all visitors sign in and sign our visitor policy.Providing customer service via phone and email in a professional manner within 20 minutes of receiving emails and calls. This service must be given with a sense of urgency to customers. Response time is critical. Acknowledging all purchase orders.Acknowledging all POs from customer after MI customer service hours. Maintain a log of all the POs received.Confirm all the POs with Main Office in MI, make sure all the POs received are processed.Create Bill of Ladings/Sales orders EXTREMELY accurate with proper shipping instructions (Prepaid, collect or Third-Party Billing) Item Quantity, Item number, pack sizes and print them by the end of the day so production can be planned.Communicate immediately with the Plant Manager and Shipping Supervisor regarding time-sensitive orders.Print Back Order BOLs in the morning from previous days shipments.Maintain a list of all the POs, that are due in the upcoming weeks and follow up with shipping to ensure delivery in a timely fashion and prevent delays.Communicate with the customer in case of any delays.Update the POs list daily.Update Bill of Ladings/Sales orders upon receiving revised POs and confirm the changes.Maintain accurate Shipping/Consignee instructions on the BOLs/Sales Orders. Maintain records of all shipments that need to be tracked and track every shipment until they are delivered.Communicate with concerned persons all through the process. ON TIME AND ERROR FREE deliveries.Verify all the outbound shipments to ensure item and quantity accuracy, one day prior to shipments leaving dock. Assist in any shipping activity (arranging carriers etc.,), if needed.Provide pick-up details to the customers as requested.Verify BOLs and COAs (Lots, quantity, piece count are a match and correct) from the previous day’s shipping log for accuracy before emailing them to the customers and notify Accounting of any changes to the shipments.Ensure all the FedEx shipments are done properly and added to the shipping board and make sure it is entered on the shipping log.Email inventory every Friday or as needed. Monitor gate, open, and close the gate for all the trucks including Garbage pickup trucks.Learn and maintain help maintain ERP system at Ontario Location. Accurate data entry is paramount to the successful implementation and maintenance of the ERP system. Print shipping labels, pallet tags and coordinate with lab/shipping with all the FedEx shipments and ensure the small package shipments are leaving in a timely manner.Collect all the mail for the Plant Manager’s review, stamp mail and keep it to be sent to corporate office every Thursday. Assist in the Quality Control lab with printing product labels, samples, packaging, documentation, and any other activity.Help coordinate customer visits, audits, and inspections.Other duties as assigned by your immediate supervisor.Company DescriptionGreat working environment.
