Payroll Accounting Coordinator

A small, private club is seeking a versatile professional to support the daily functions of its business office. This is an excellent opportunity to join a tenured, team-oriented staff in a long-term role.

Reports to: Controller

Full-time Onsite, New Haven County

Compensation: $26-$30/hr., but flex for the right person/long term fit

Key Responsibilities

Accounts Payable

• Process A/P invoices, checks, and virtual credit card payments
• Process ACHs in lieu of petty cash
• Reconcile vendor accounts and bank statements
• Reconcile payment log to AR deposits
  
  

Payroll & Human Resources Support

• Process new hires, rehires, and terminations
• Manage new hire onboarding and maintain employee files
• Prepare and review timesheets and tip pools
• Prepare and distribute payroll using Paychex
• Administer benefits for full-time employees
• Support HR needs, including training, investigations, and warnings
  
  

Office Support (backup to Receptionist)

• Answer and direct phone calls
• Maintain knowledge of the club calendar, including functions, banquets, amenities, and hours of operation
• Provide member support via phone, website, fax, and email
  
  

Accounts Receivable / Membership

• Process daily AR sales (restaurant, pro shop, 5th hole, pool snack bar, and banquets)
• Process daily receipts, checks, and credit card payments
• Reconcile house accounts
• Prepare and mail monthly statements and flyers
• Process membership billing correction requests
• Prepare reports as requested (e.g., monthly F&B sales revenue)
• Process membership changes and related correspondence
• Track and document UBI (special party spreadsheet)
  
  

General

• Assist with year-end audit and general ledger support as directed by the Controller
  
  

Qualifications

Required

• 2–4 years of experience with accounting software
• Prior payroll processing experience
• Proficiency in Microsoft Excel, Word, and Outlook
• Excellent written and verbal communication skills
• Detail-oriented, organized, and able to manage time effectively
• Ability to work independently
  
  

Preferred

• Associate's or bachelor's degree in Accounting
• Accounting experience in a private club, golf course, or restaurant setting
• Experience with Northstar Global software
• Experience with Paychex or similar payroll software
