Reporting to the Director of Benefits Administration & Operations, the Benefits Specialist will support the administration of employee benefits programs and manage leave of absence processes. This role requires a highly organized and customer-focused professional who can ensure accurate benefits administration, maintain compliance, and provide employees with outstanding support and guidance.
Key Responsibilities
Benefits Administration
- Administer employee benefit programs including health, dental, vision, retirement savings, and wellness initiatives.
- Process benefit enrollments, changes, and terminations accurately and efficiently.
- Maintain benefit records and ensure data accuracy across HR systems and vendors.
- Serve as a primary point of contact for employee benefits questions and concerns.
- Guide employees through benefit enrollments, life events, and onboarding processes.
- Educate employees on available benefit offerings and resources.
- Conduct regular audits of HRIS benefit data and vendor integrations.
- Investigate and resolve discrepancies in a timely manner.
- Manage benefit billing processes and reconcile invoices with vendors.
- Ensure compliance with all applicable federal and state regulations, including:
- ERISA
- COBRA
- ACA
- FMLA
- HIPAA
- Maintain accurate records and documentation related to benefits and leave programs.
- Manage employee leave programs including:
- FMLA
- Disability leaves
- Paid family and medical leave
- Parental leave
- Personal leaves of absence
- Track leave eligibility, usage, documentation, and return-to-work dates.
- Partner with employees, managers, and third-party vendors to ensure a smooth and compliant leave experience.
- Assist with annual open enrollment planning and execution.
- Prepare employee communications and educational materials.
- Support enrollment reporting, audits, and data management activities.
- Partner daily with HR, Payroll, Finance, IT, brokers, and benefit vendors.
- Support process improvements and operational efficiencies across benefits administration.
- Bachelor's degree preferred
- 2 years of benefits administration or HR experience
- Experience administering employee benefits and leave programs
- Knowledge of FMLA, disability, ACA, COBRA, HIPAA, and related regulations
- Experience with HRIS systems and benefits vendors
- Strong attention to detail and organizational skills
- Excellent communication and customer service abilities
- Ability to manage multiple priorities in a fast-paced environment
