Head of Talent and People Operations

Certum Legal Solutions
York, NY Full Time
POSTED ON 6/9/2026
AVAILABLE BEFORE 7/8/2026

About the Company

Certum Legal Solutions (CLS) is a legal managed services organization (MSO) that supports mass-tort and single-event personal injury law firms. We provide the operational infrastructure, technology, and back-office services that allow the firms on our platform to focus on delivering results for their clients.

About the Role

We are hiring our first dedicated people leader. As Head of Talent & People Operations, you will own both talent acquisition and the HR infrastructure that supports our team day-to-day. You will report directly to the CEO, partner with leadership across the business, and have an immediate, visible impact.

Responsibilities

  • Build and manage proactive sourcing pipelines through outbound prospecting, job boards, employee referrals, and agency partnerships.
  • Select, implement, and administer an ATS; establish data standards and recruiting metrics from the outset.
  • Manage offer conversations, compensation benchmarking, and the full close process.
  • Track core recruiting KPIs — time to offer, offer acceptance rate, sourcing yield, and candidate NPS — and improve continuously.

  • HR Administration & Compliance:
  • Serve as the primary HR contact for all employees, including benefits questions, policy guidance, leave, and employee relations.
  • Manage benefits administration: open enrollment, carrier relationships, and new hire enrollment.
  • Own onboarding and offboarding end-to-end: documentation, I-9, system access coordination, and exit interviews.
  • Maintain employee records and HR documentation in compliance with federal and state requirements.
  • Maintain the employee handbook, HR policies, and SOPs; keep CLS current with evolving employment law.
  • Manage multi-state compliance, EEO reporting, and pay transparency obligations across active jurisdictions.

  • People Strategy & Infrastructure:
  • Partner with the CEO, company executives, and department heads on headcount planning and workforce forecasting.
  • Build hiring infrastructure: role profiles, interview guides, scorecard templates, and offer letter frameworks.
  • Train and advise hiring managers on structured interviewing, evaluation best practices, and legal compliance.
  • Lead HRIS evaluation and implementation when the timing is right.

Qualifications

  • 7–10 years of HR and talent acquisition experience with ownership across both functions (not exclusively one).
  • Proven full-cycle recruiting ability: you source actively, not just manage inbound applications.
  • Hands-on HR administration experience, including employee records, benefits, onboarding, offboarding, and compliance documentation.
  • Working knowledge of employment law: FLSA, FMLA, ADA, COBRA, I-9, Title VII, and state-specific requirements.
  • ATS and HRIS proficiency: You have administered platforms, not just used them.
  • Strong judgment, discretion, and communication skills; employees and candidates will both form impressions of CLS through you.

Required Skills

  • SHRM-CP, SHRM-SCP, PHR, or SPHR certification.
  • Background in professional services, legal services, or another regulated industry.
  • Multi-state employment experience.
  • Experience selecting or implementing HR or recruiting technology platforms.
  • Familiarity with the MSO model or shared/managed services environments.

Salary: $150,000 – $250,000 per year, based on experience and skillset.

  • 401(k) eligibility upon start with employer matching.
  • Hybrid work schedule (minimum 3 days per week in-office).
  • Direct report to the CEO with a clear growth path to VP or C-level position as CLS grows.
