The Certified Commercial Property Inspectors Association (CCPIA®) is a fast-growing trade association supporting commercial building inspectors nationwide. We’re looking for an Operations & Executive Assistant to work directly with the Executive Director to help manage day-to-day operations and bring new initiatives to life.
This part-time role is suited for someone who enjoys diverse projects, stays highly organized, and is comfortable tracking many moving pieces within a dynamic, fast-paced team.
General Role Overview
- Assist with project management across a small internal team and external contractors, including online training schedules, class content, materials, and related deliverables or marketing collateral.
- Manage administrative tasks such as interacting with members by email or phone and maintaining membership accounts.
- Support course and content uploads within the online course platform and learning management system (LMS).
- Support website content management by posting and updating articles, events, and other materials.
- Draft and perform first-pass quality checks on written materials, including articles, event descriptions, and other content produced by team members.
- Follow existing internal standards for training and web content, and help maintain and develop those standards as the organization grows.
- Coordinate logistics for in-person and live online training events, including communication with students, instructors, venues, and partners.
- Take on other operational or creative projects as they arise, we’re a growing organization, and priorities evolve frequently.
Qualifications and Skills
- Strong project coordination abilities, including tracking progress and ensuring timely follow-up across internal and external teams.
- Comfortable working with independent contractors, creating clear scopes, and monitoring milestones.
- Detail-oriented, highly organized, and reliable; ensures open items are followed through to completion.
- Tech-curious and willing to learn new systems and platforms.
- Able to work independently, Demonstrating initiative and communicates proactively to ensure clarity and alignment.
- Strong writing skills for educational, professional, and promotional content, with attention to clarity, tone, and detail.
- Professional communication and customer service skills for member interaction.
- Working knowledge of Google Workspace (Docs, Sheets, Drive, Gmail, etc.).
- Familiarity with website management, membership platforms, or learning management systems is a plus but not required.
- Experience in commercial real estate, construction, or inspection industries is helpful but not required.
- Experience working in small teams or trade association environments is a plus.
Role Details
- Hours: Part-time (16–24 hours per week), typically three 8-hour days
- Compensation: $30–$35 per hour, commensurate with experience
- Location: In-office at CCPIA headquarters in Boulder, Colorado, during the first few months for training and collaboration with the Executive Director
- Flexibility: Potential for hybrid or fully remote work after the initial training period
- Growth: Significant opportunity for expanded responsibilities and/or a full-time role for the right fit
