JOB OVERVIEW:
The Manager of Operations serves as the primary operational coordinator responsible for managing and improving administrative, operational, and internal culture/engagement functions across the organization. Reporting to the Sr. Manager of Operations and Programs, this role supports the efficient day-to-day operations of CICP by managing key operational processes, coordinating workflows, and maintaining operational systems that support staff and organizational programs.
The Manager of Operations plays a vital role in facilitating office logistics, internal administrative processes, employee engagement programs and organizational events while ensuring operational processes and documentation remain organized, current, and accessible.
This position requires a solutions-oriented, detail-focused professional who can balance multiple priorities, manage operational workflows independently, and maintain high standards of confidentiality and compliance. With strong organizational, communication, and technical skills, the Manager ensures that processes and systems run efficiently, policies remain current, and strategic goals are supported through timely and accurate execution while identifying opportunities to improve operational efficiency and consistency.
The Manager has a highly collaborative and impactful role across the organization, working closely with the Sr. Manager of Operations and Programs to support organizational initiatives and operational improvements.

JOB RESPONSIBILITIES:
Administrative and Operational Leadership & Process Ownership
- Serve as the Operations Lead for the CICP team, providing administrative and operational management to the team
- Maintain and improve operational workflows and documentation to ensure consistency and efficiency across the organization
- Own and manage the execution and approval of monthly staff expense reimbursements, credit card reconciliations, vendor invoices, and contracts
- Support the administration of commercial insurance, including renewals, certificate of insurance (COI), and audit coordination
- Maintain compliance with mandatory business filings (Business Entity, E-1, etc.) and assist in document preparation
- Assist in the budgeting process and monitor operational expenditures
- Manage and coordinate CICP Shared Services staff meetings and monthly Ops Leads meetings
- Review all administrative and operational policies, guidelines and best practices and assist with content updates on an annual basis
- Drive process improvements by creating and maintaining training/reference materials for the CICP team on contracting, invoicing, and sponsorship workflows
- Conduct audits and updates of resources and software tools to ensure accuracy, accessibility, and appropriate user access
- Collaborate cross-functionally to ensure smooth execution of processes and system updates
- Maintain operational policies and maintain clear documentation of operational procedures and internal workflows
- Lead CICP staff onboarding for administrative and operational tasks in coordination with the Sr. Manager of Operations and Programs and Shared Services partners.
- Lead and coordinate organizational events (holiday party, summer outing, culture programs, retreats, internal engagement initiatives such as new hire meet and greets, intern meet and greets, team outings, anniversary and birthday acknowledgments)
- Support the execution of organizational engagement programs (e.g. “Know Your Why”, Culture Committee, etc.)
- Lead core event functions such as overseeing facilities, decor, catering, entertainment, transportation, invitations, event logistics, etc. within a set budget and timeline
- Collaborate cross-functionally with program leads to plan and execute event components, ensuring alignment across teams and seamless delivery of all event elements
- Oversee day-of program and event management, some of which may be outside of normal work hours
- Prepare meeting summaries and conduct post-event debriefs to evaluate outcomes
- Assist in management of The Hub and Sift platforms for internal communication and recognition programs
- Coordinate Predictive Index administration and reporting
- Support high-priority operational projects under the direction of the Sr. Manager of Operations & Programs
- Coordinate the communication of process changes throughout the organization
- Draft and maintain plans, timelines, and task lists
- Monitor progress against milestones and communicate updates to relevant stakeholders
- Organize shared documentation and ensure version control
- Support process improvement efforts to streamline operational workflows
- Identify operational challenges and recommend process improvements to the Sr. Manager of Operations and Programs.
- Contribute to organizational initiatives that enhance efficiency, employee engagement, and internal communication
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree (or equivalent) in Business Administration or a related field, required
- Minimum 4 years of office management, administration, and/or operations experience required
- Superior planning, organizational, time management and record-keeping skills with attention to and memory for details
- Excellent oral and written communication skills to include grammar, punctuation and spelling
- Strong relationship-building skills
- Demonstrated ability to manage multiple priorities and deadlines
- Ability to use independent judgement and good discretion/ decision making skills
- Must possess cultural awareness, strong relationship management skills, emotional intelligence, and critical thinking/problem solving skills
- Extensive experience with MS Office suite, Teams, and Outlook and experience supporting operational workflows using collaboration or project management tools
- Proven ability to handle confidential information with discretion
