What are the responsibilities and job description for the Anticipated Guidance Secretary position at Central York School District?
- Provide administrative and clerical support for Guidance office. Type/prepare correspondence and schedule appointments. Answer phone, take and relay messages for counselors. Serve as a resource for students, parents, faculty and staff.
- Maintain cumulative files and career folders for all middle school students.
- Process new enrollments and withdrawals, and notify appropriate school personnel with needed information. Follow-up on missing information. Give building tours to students and parents.
- Prepare data for test booklets.
- Process requests for enrollment verification.
- Assist with coordination of annual Presidential Academic Excellence Awards. Track students meeting academic requirements, notify parents and track acceptances, and frame awards.
- Facilitate annual scheduling activities, including high school scheduling for eighth grade students.
- Facilitate student interest and enrollment in York County Area School of Technology.
- Process mass mailings (Interim Progress Reports, report cards, letters to parents, etc.).
- Coordinate Report Card preparation and distribution.
- Track students who may or will be retained in current grade, coordinate with counselor and prepare appropriate correspondence to parents.
- Coordinate Summer School registration.
- Track, prepare and distribute various reports. Prepare and send quarterly student progress reports per counselor request.
- Order office supplies for guidance office.
- Perform general clerical duties, including filing, faxing, copying, shredding, etc.
- Perform special projects and other duties as assigned.
- Three (3) years experience as a secretary/administrative assistant in public education or the public sector
- High School diploma or equivalent
- Diploma from an accredited secretarial training program helpful
- Must possess computer skills – specifically Word, Excel, Intranet, e-mail and database applications
- Must possess general office/secretarial skills
- Ability to operate office equipment
- Step placement shall be based on years of service recognized by employer.
