Position: Secretary to Superintendent (Administrative Assistant)/District Registrar
Reports to: Superintendent
Employment Status: Regular/Full-time (260 Days)
Description: The Superintendent's Secretary serves as the executive administrative assistant to the Superintendent and Central Office, providing confidential administrative support and coordinating the daily operations of the Superintendent's Office while serving as a professional liaison to staff, students, families, Board members, and the community.

Essential Qualifications:
- must have a high school diploma, or equivalent
- must have successful clerical experience within the district or other educational institution
- must possess full secretarial skills, including computer competency and knowledge of state software programs
- must have personal skills in working with people; good rapport with fellow employees and with public
- must be willing to become knowledgeable in total district operations
- must not be easily overwhelmed by rush jobs; maintains capability to be flexible in performing unexpected duties that may arise
- must have an acceptable background check
- must have an acceptable performance on qualifications test
- excellent written and verbal communication skills.
- ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- ability to work independently with minimal supervision while maintaining a high level of accuracy and professionalism.
Essential Functions:
- assists and supports the Superintendent/Central Office in all aspects and responsibilities of the office
- enrolls and registers all new students & completes all necessary paperwork for new student enrollment
- completes requisitions for Central Office/Superintendent as needed
- is responsible for ordering office supplies, water, coffee/creamer, etc. throughout the year
- receives and directs all incoming phone calls, mail and visitors for the Central Office/Superintendent and makes proper disposition of such
- is responsible for receiving cash and providing receipts for event payments and sponsorships, etc as well as handling deposits per board policy
- is responsible for postage & organization of daily mail
- is responsible for incoming packages & deliveries as well as notifying individuals of arrivals
- maintains neat & orderly work area of Central Office including work area, copy room and stock room
- is responsible for maintaining the calendar of appointments for the Superintendent
- accepts and directs all questions and requests regarding the office of the Superintendent, and sees that such matters are disposed of promptly and tactfully
- handles correspondence, reports, and other communications of the Superintendent
- is professional at all times in contacting a wide variety of individuals dealing with the school district and maintains a pleasant, helpful attitude
- prepares information for Board of Education meetings; compiles pertinent information in preparation for sending to Board members prior to Board meetings; sends meeting information to the press
- completes all forms, reports, bulletins, agendas, records, expulsion records, notices and letters
- maintains the Ohio Educational Directory (OEDS-R), Stark County Directory, district directory, etc.
- maintains all matters related to superintendent’s agreements, home education and grandparent tuition waivers, and other items deemed necessary by the Superintendent
- is responsible for sending changes in Board policies and procedures to NEOLA for updating
- maintains the highest level of confidentiality regarding personnel matters, student information, legal matters, negotiations, executive communications, and other sensitive district information.
Other Duties and Responsibilities:
- complies with all Canton Local Board of Education policies and procedures
- perform other duties as assigned
