JOB DESCRIPTION
TITLE: Time and Attendance Clerk
REPORTS TO: Director of Finance
JOB GOAL
Responsible for overseeing all timekeepers’ entries into Jantek and MUNIS or the district's time keeper systems to protect the integrity of the timekeeping process. Compile and post employee time and payroll data by verifying and recording attendance, hours worked, and pay adjustments. Work collaboratively with the payroll clerk to ensure that employees are paid on time and that their paychecks are accurate.
SUPERVISORY RESPONSIBILITY
None
- Verify attendance, hours worked, and pay adjustments, and post information onto designated records.
- Keep track of leave time, such as vacation, personal, and sick leave, for employees.
- Execute timekeeping clerical duties to the payroll department.
- Maintain and manage timekeeping records of employees.
- Check and inspect timekeeping records for errors and rectify.
- Maintain databases of employee timekeeping records.
- Maintain and organize individual employee service records.
- Answer and respond to employees on timekeeping issues.
- Process and prepare payroll of employees based on timekeeping records.
- Analyze and evaluate current period payroll and timekeeping issues.
- Understand and communicate board policies and internal control procedures with regard to time and attendance and how it relates to benefits and the payroll process.
- Audit time records weekly for accuracy and completion as submitted by timekeepers at assigned locations
- Export time records from timekeeping system to MUNIS or current payroll system
- Assist in developing detailed manuals and implement training for timekeepers.
- Update and maintain leave accruals for timekeeping and reporting purposes.
- Updates users in the timekeeping portal.
- Test and research issues with timekeeping systems to ensure processes work correctly and train other users.
- Develop queries and reports in timekeeping and payroll portals to ensure accuracy of payroll data prior to payroll processing.
- Assist administrators with administrative timekeeping tasks and share information with clerks and timekeepers.
- Adhere to the Mississippi Code of Ethics.
- Maintain confidentiality and privacy of all Vicksburg Warren Schools’ records.
- Performs other tasks as assigned
QUALIFICATIONS
Payroll/ bookkeeping experience preferred. Proficient in computer applications.
EDUCATION AND EXPERIENCE
High School Diploma. Bachelor's degree preferred

Ability to respond to inquiries or complaints. Ability to communicate to diverse groups of people. Demonstrates effective communication skills by speaking clearly and expressing ideas logically and giving clear, explicit explanations. Uses written communication appropriately and professionally.
- PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to stand, walk, reach, bend and sometime lift up to 25 pounds. Mobility skills are necessary to access a variety of work locations.
- OTHER SKILLS
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Must keep accurate, up-to-date records. Define problems, collect data, establish facts, and draw valid conclusions.
