Position Summary
The Intake Specialist / Front Desk Receptionist serves as the first point of contact for clients and visitors, both in person and over the phone. This role is responsible for managing the intake process for new clients while supporting daily front desk and administrative operations.
This position works closely with the Therapy Operations Director to improve workflow efficiency and ensure a welcoming, organized, and professional environment.
Key Responsibilities
- Greet clients, families, and visitors in a friendly and professional manner
- Answer and direct incoming phone calls
- Collect and record client demographic and medical information accurately
- Assist clients with completing intake paperwork and scheduling appointments
- Maintain knowledge of healthcare plan requirements and processes
- Coordinate and manage therapists’ schedules
- Confirm appointments with clients via phone
- Process payments accurately and in a timely manner
- Maintain a clean, organized, and welcoming environment, including vacuuming the gym and cleaning and sanitizing restrooms (mopping floors and toilets)
- Support general office upkeep and light administrative tasks
- Perform housekeeping and maintenance tasks
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent (required)
- Minimum of 1 year of customer service experience (preferred)
- Experience with medical records or EMR systems (preferred)
- Knowledge of medical terminology (preferred)
- Proficiency in Microsoft Office (required)
- Bilingual (English/Spanish) is a plus

Schedule Part-time
- Monday through Friday
- Day shift (6–7 hour shifts)
- Possibility for additional hours not to exceed 32 hours.
