INFORMATION
Job Class: Coordinator
Department: Tribal Family and Youth Services
Salary Grade(s): 10-11 ($33.29 DOE)
Hours of Work: M-F, 8:00 am – 4:30 pm
Type of Position: Non-Exempt

PURPOSE
The overall responsibility of the Child Welfare Coordinator is to provide daily supervisory support and over- site of Family Case Workers I/II in the Tribal Family and Youth Services Department of Tlingit & Haida.
Conduct weekly individual supervision, group staffings, coordinate training for Family Caseworkers I/II and assist the Manager and Director in the development and implementation of a sustainability plan in the identified location of the staff they are overseeing. Provide coordination of the Caseworker I/II workflow, oversight of document retention, and assure clear and concise communications are distributed to all staff as needed.


ESSENTIAL FUNCTIONS
• Supervise Family Caseworker I/II staff and Administrative Assistant if applicable
• Ensure the appropriate program assessment instruments are administered with the prescribed time frames
• Mediate client complaints
• Conduct random and periodic Continuous Quality Improvement compliance audits of client case files to ensure compliance with Tlingit & Haida and TFYS Department policies and procedures, and required federal and state regulations
• Develop and recommend program procedure revisions following fair hearings, client complaints, mediation, case compliance audits, and other issues affecting clients
• Conduct regular case staffing as necessary for quality case management
• Review and approve quarterly case summaries for clients with each worker
• Ensure record keeping for client cases is entered in timely and up to date
• Periodically develop and/or conduct/secure appropriate job development training for staff
• Provide orientation, work performance mentoring, and supervision of staff
• Prepare and submit required program and grant reports to meet deadlines
• Develop, prepare and provide small group and community education workshops on specific program- related topics
• Update files and maintain a variety of paper and computer records such as addresses, telephone numbers, vacation schedules, attendance, and timesheets
• Perform complex data entry tasks for which there is a variety of formats and procedures and with general instructions for coding and entering data; check and correct entry for input errors
• Assist in scheduling and planning for meetings in local communities, provide information, create and display room signs as requested
• Assist with monitoring the budget, printing, reviewing, and making recommendations for changes in data from finance financial reports; may assist with preparing budgets and recommending revisions with the manager's authorization
• Other related duties as assigned

NECESSARY SKILLS AND KNOWLEDGE
• Extensive knowledge of good social work practice
• Extensive knowledge of the proper application of P.L. 95-608 (Indian Child Welfare Act)
• Working knowledge of the fundamentals of interpersonal communication, interviewing and problem solving
• Working knowledge of the purpose of using a family meeting model to develop case plans for families
• Mediate disputes and respond to client complaints
• Speak, write, actively listen, communicate effectively; meet and deal effectively with the general public, establish and maintain cooperative working relationships
• Reason logically, exercise good judgment, formulate logistical conclusions, and record supportive data in programming and decision-making
• Good work habits affecting attendance, quality of work, and completion of tasks
• Successfully incorporate training and other educational opportunities into daily practice
• Must maintain strict confidentiality
• Computer literate with proficiency in Microsoft Office Programs: Word, Excel, Outlook, and Teams
• Effective communicator; uses tact, diplomacy, and maintenance of confidentiality in the performance of the job
• Understand document filing principles and procedures
• Knowledge of Native American, especially Alaska Native, Tribes and organizations preferred
• General knowledge of State and Federal government programs is desirable
• Occasional travel is required.

MINIMUM QUALIFICATIONS (education, experience, skills)
• Associates Degree
• 2 years related experience
Substitution
• High School Diploma and;
• 4 years related experience

UNUSUAL PHYSICAL REQUIREMENTS OR RESTRICTIONS
Most work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs. Travel on small aircraft or ferry may be required.
