TITLE: Service Coordinator
REPORTS TO: Service Business Administration Manager
Job Duties / General Requirements
The Service Coordinator serves both internal and external customers by scheduling repair
services, generating and closing out work orders for billing, maintaining customer satisfaction and customer records. Functions as primary contact for field service technicians. Must be a self- starter who can perform well in a fast paced environment with exceptional attention to detail and customer service qualities.
Exceptional organization and customer service skills, ability to research and solve problems in a high pressure environment, good at multitasking, possess high energy level, teamwork focused, excellent phone, customer service, and data entry skills. Prior experience in commercial HVAC dispatching/service preferred. Experience in RS Means and ComputerEase is also preferred.
Receive, record and dispatch service requests.
Identify appropriate technician to schedule work to maximize productivity and still provide prompt and effective service to our customers.
Answer incoming calls and act as a liaison to our customers; must be very personable with a warm, professional telephone demeanor.
Call customers to set and confirm appointments and maintain preventative maintenance requirements/scheduling.
Procure job related materials from vendors and schedule job completion accordingly.
Ensure completed paperwork is returned by technicians in a timely manner.
Finalize completed work order and ensure it has been appropriately completed for customer invoicing.
Provide superior customer service to both internal and external customers.
Develop and maintain refrigerant management system/documentation and inventory for technician’s truck stocked refrigerant.
Develop an improved truck stock inventory process and maintain as required.
Ensure truck stock items purchased are coded properly in POs so that inventory is accurate.
High School Diploma or equivalent.
3-5 years customer service, call center and/or dispatch experience is required.
Must be detail oriented, able to multitask, and handle fast paced, high pressure situations.
Self-starter with excellent organizational skills.
Must be able to utilize all Microsoft products proficiently to include Word, Excel, and Outlook.
HVAC or service industry experience is a plus but not required.
RS Means and ComputerEase a plus but not required.
