Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The successful candidate will be responsible for providing exceptional administrative support to our office operations, ensuring seamless communication and efficient management of daily tasks.
Duties:
- Manage and coordinate office activities, including scheduling meetings, appointments, and events.
- Maintain and update our calendar system, ensuring all appointments and meetings are accurately recorded.
- Handle phone calls, respond to messages, and manage the front desk, providing excellent customer service and phone etiquette.
- Assist with managing office supplies, inventory, and equipment.
- Organize and maintain files and records, ensuring they are up-to-date and easily accessible.
- Provide administrative support to the team, including preparing reports, presentations, and documents.
- Manage and maintain our phone systems, including voicemail and messaging systems.
- Utilize QuickBooks to manage accounts payable and accounts receivable.
- Collaborate with other administrative staff to achieve office goals and objectives.
- Assist with team management and administrative tasks as required.
- Perform other administrative tasks as needed.
Qualifications:
- High school diploma or equivalent required.
- Experience in office administration, preferably in a fast-paced environment.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication and phone etiquette skills.
- Proficiency in Microsoft Office and QuickBooks.
- Ability to maintain confidentiality and handle sensitive information.
- Physical stamina to handle a dynamic and busy office environment.
- Strong team management and leadership skills.
- Preferred: Experience with front desk operations, and a background in office management and administration.
- Flexible schedule to accommodate part-time role.
Job Type: Part-time
Pay: $20.00 - $28.00 per hour
Expected hours: 16 – 20 per week
Experience:
- Administrative: 3 years (Required)
- Accounts Receivable: 3 years (Preferred)
- Human Resources: 1 year (Preferred)
