Overview
We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and ensuring the smooth operation of daily office activities. The ideal candidate will be proactive, organized, and possess excellent communication skills, with the ability to handle multiple tasks efficiently. This paid position offers an exciting opportunity to develop your administrative expertise while supporting a collaborative and professional workplace. Hours are monday through friday 9am-12 noon
Duties
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries to appropriate staff members with professionalism and courtesy
- Handle front desk responsibilities including scheduling appointments, maintaining visitor logs, and managing incoming mail and deliveries
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, report creation, and calendar management
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office equipment
- Assist with personal assistant duties including calendar coordination, travel arrangements, and task prioritization
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong computer literacy, including data entry, proofreading, and general office software use
- Previous experience in customer service or customer support roles emphasizing professionalism and patience
- Knowledge of QuickBooks or bookkeeping experience is a plus but not mandatory
- Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
