What are the responsibilities and job description for the Administrative Assistant - Part-Time position at Center School?
The Administrative Assistant at Center School is the face of the school. The Administrative Assistant is the first person that visitors encounter upon calling or arriving at the school. This role is multifaceted, and while many of the responsibilities are of an administrative nature, there are specific responsibilities related to student transportation, internal and external communication, and student and family affairs.
This role reports directly to the Head of School but also supports the entire school administration team. This role is a 12-month part-time position.
Overview of General Responsibilities:
1. Manage and maintain transportation for students; build and maintain relationships with multiple school district transportation offices for this purpose.
2. Track attendance and keep detailed records of students' whereabouts.
3. Be a point person for current families for general in-school questions 4. Answer phones, transfer calls, and collect messages as necessary at the front desk. Be knowledgeable of Center School to convey to parents, attendees, and inquiries.
5. Greet visitors, including current and prospective families, supporters, and Board Members. Be aware of visitors' movements while in the building.
6. Collect and distribute mail and other deliveries as received.
7. Provide support with mailings and printing, and distributing as assigned.
8. Support the administration with individual departmental needs.
9. Perform other duties as assigned by the administration.
Qualifications:
1. Possess strong interpersonal skills, including problem solving and organizational skills, and the ability to independently work efficiently and effectively.
2. Have experience in customer service or a similar field.
3. Possess strong communication skills orally and in writing.
4. Must possess a high school diploma or higher.
State Clearances are required by law prior to employment. This is a part-time position and is not benefits-eligible. The primary hours for this position will be every Friday (except for school holidays), 7:30am - 4:00pm, with the possibility of increasing days/hours during peak season and to provide substitute coverage.
