Administrative Assistant Position Description
FLSA Classification: Part-time, non-exempt
Reports to: Chief Operating Officer
POSITION SUMMARY
The Part-Time Church Administrative Assistant provides essential administrative and clerical support to the church through the pastoral staff and church leadership. This individual serves as the first point of contact for the church and plays a vital role in ensuring the smooth and efficient operation of the church office during scheduled hours.
KEY RESPONSIBILITIES
▪Assist with day-to-day operations of the church office during scheduled hours
▪Answer and direct phone calls, emails, and walk-in inquiries
▪Assist with maintaining church records, membership databases, and filing systems
▪Order and manage office supplies as needed
▪Prepare and distribute church correspondence and communications
▪Prepare the weekly church bulletin and newsletter for distribution
▪Assist with church website updates and social media postings
▪Send announcements via email, text, or church communication platforms
▪Design and produce flyers, programs, and promotional materials
▪Assist with the church calendar and coordinate room bookings, event logistics
▪Assist with preparing agendas and taking minutes for leadership meetings as needed
▪Assist with recording tithes, offerings, and donations
▪Assist with preparing contribution statements for members
▪Provide administrative support to the pastor(s) and ministry leaders
▪Manage pastoral appointments and schedules
▪Assist with maintaining and updating church membership records
▪Coordinate follow-up with visitors, new members, and absentees
▪Assist with wedding and funeral administrative needs

QUALIFICATIONS
▪High school diploma or GED required; Associate's or Bachelor's degree preferred
▪Minimum 2 - 4 years of administrative or office experience with demonstrated effectiveness Prior experience in a church or nonprofit setting is a plus
▪Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite
▪Familiar with church management software (e.g., Realm) preferred
▪Strong written and verbal communication skills
▪Excellent organizational and time management skills
▪Ability to work independently and manage tasks efficiently within limited hours
▪Basic graphic design skills (Canva or similar) a plus
▪Active Christian faith and alignment with the church's mission and values
▪High level of integrity, discretion, and confidentiality
▪Warm, welcoming, and servant-hearted attitude
▪Professional demeanor and appearance
▪Self-motivated and reliable with minimal supervision
ADDITIONAL POSITION DETAILS
▪Employment Type: Part-Time
▪Hours: Approximately 20 hours per week (hours may vary based on church needs)
▪Schedule: Monday – Friday with flexible scheduling; occasional evenings or weekends for special events or programs
▪Location: On-site at the church office
Compensation: Starting rate is $25 per hour, maximum of 30 hours per week
Pay: $25.00 - $30.00 per hour
