Position Overview

Join the Center for the Rights of Abused Children as our Administrative Assistant, a senior support role for an experienced professional who runs the organization's operating rhythm—meetings, projects, and documents—with minimal oversight. This is not an entry-level position. We are looking for someone who exercises independent judgment, anticipates needs before they're raised, uses AI and technology to work smarter, and owns processes end to end rather than waiting to be told what to do next. The ideal candidate is exceptionally detail-oriented, takes precise notes, and follows through on every commitment without being asked twice. You'll be trusted with sensitive information and high-stakes moments, so accuracy, discretion, and sound judgment matter as much as speed.

Key Responsibilities

  • Project & Document Management: Drive multiple ongoing projects to completion and prepare, format, and proofread documents, presentations, and reports with meticulous attention to detail. This is a core, heavily weighted part of the role.
  • AI & Process Efficiency: Use AI tools and technology to streamline notetaking, document preparation, and administrative workflows, proactively identifying opportunities to work faster and more accurately.
  • Meeting Support & Notetaking: Prepare agendas, attend key meetings, and take clear, accurate notes that capture decisions and action items—then track those action items to completion, following up proactively across departments.
  • Correspondence & Stakeholder Communication: Draft, proofread, and manage correspondence on behalf of the organization, and support communications with donors, clients, board members, and other stakeholders as needed, maintaining a professional and consistent voice.
  • Vendor Coordination: Serve as a point of contact for vendors and service providers, coordinating scheduling, deliverables, and follow-through.
  • Calendar & Meeting Scheduling: Plan and schedule meetings, exercising judgment to prioritize and resolve conflicts without direction.

Qualifications

  • Seniority: This is a high-level position, not an entry-level one. We're looking for a seasoned professional who can operate with autonomy from day one, not someone who needs to be trained into judgment.
  • Autonomy & Judgment: Demonstrated ability to prioritize, make decisions, and manage competing demands independently, without step-by-step direction.
  • Detail-Oriented: A track record of catching the small things others miss, with near-zero tolerance for typos, scheduling errors, or dropped follow-ups.
  • Strong Notetaker: Able to distill fast-moving conversations into clear, organized, and actionable notes in real time.
  • Execution-Focused: A reliable finisher who takes ownership of tasks and projects from start to finish and communicates proactively on status.
  • Tech-Forward: Comfortable using AI tools and new technology to increase efficiency and accuracy, with a proactive interest in adopting better ways of working.
  • Experience: 5 years in a senior administrative, executive support, or operations role, ideally supporting leadership in a fast-paced environment.
  • Location: Must be based in Phoenix and thrive in an in-office environment.
