Intake Coordinator – Job Description
The Intake Coordinator plays a key role in welcoming new clients to our practice and ensuring they feel supported from the very beginning of their counseling journey. This position bridges the gap between administrative organization and compassionate client care.

Primary Responsibilities
- Client Intakeo Ensure all intake paperwork is completed and collected, including consents, demographics, history, insurance, IDs, custody agreements, and other required forms.o Contact clients the day before their intake appointment to confirm paperwork is completed and helps if needed.o Meet with each new client before their scheduled intake session to answer questions and explain financial responsibilities. * Insurance & Authorizationso Verify commercial insurance benefits and enter information into Therapy-Notes.o Confirm EAP authorizations and set them up in the client account.o Obtain prior authorizations if required (especially for out-of-network benefits). * Referrals & Documentationo Process referrals received by fax.o Upload referral documentation into Therapy-Notes.o Distribute counseling referrals to Adicia and testing referrals to Dana. * Team Supporto Assist with secondary billing and the aging report on Fridays with Paula.o Answer phones as needed.o Help with special projects when assigned.
