About Us
Celebration Obstetrics & Gynecology is a well‑established private practice with multiple locations across the Orlando area. We are expanding to St. Cloud and are seeking an experienced Office Manager to help establish and oversee daily operations at our new site. This position plays a key role in bringing our existing, successful workflows, culture, and patient‑care standards to our new location.
Position Overview
The Office Manager will ensure the smooth, professional, and patient‑centered operation of the St. Cloud office by implementing proven processes and supporting both patients and providers. This role requires a proactive leader who excels at building strong relationships and maintaining a cohesive, high‑quality practice environment.
Key Responsibilities
Practice Operations
- Oversee day‑to‑day operations, including scheduling, front‑desk workflow, and patient flow. Leads operational and clinical staff.
- Implement and maintain operational procedures consistent with our other established Ob/Gyn locations.
- Partner with leadership to promote efficiency, quality, and alignment across the practices.
- Inventory control and supply ordering responsibilities.
- Provides cross-functional support across all practice roles and locations, stepping in as needed to ensure smooth operations practice-wide.
Provider & Team Collaboration
- Build and maintain excellent working relationships with practice providers to support seamless clinical operations.
- Serve as a communication link between providers and administrative staff to ensure that needs, concerns, and workflow updates are addressed promptly.
- Support providers in delivering exceptional patient care through efficient scheduling, room utilization, and resource coordination.
Team Leadership & Development
- Supervise, coach, and support front office and clinical staff.
- Promote a positive, collaborative, and high‑performing team environment.
- Assist with hiring, onboarding, and training staff for the new location.
Patient Experience
- Serve as a point of contact for patient questions, concerns, and escalations.
- Maintain a welcoming, compassionate, and patient‑centered atmosphere.
- Oversee communication channels, including phones, portals, and in‑office interactions, to ensure timely and accurate information.
Compliance & Administrative Oversight
- Ensure compliance with HIPAA, practice policies, and regulatory requirements.
- Oversee medical records, insurance coordination, and billing processes.
- Support accuracy and consistency in documentation, workflows, and reporting.
Qualifications
- 3 years of medical office management experience and clinical background (Women’s Health/Ob‑Gyn preferred).
- Bilingual English/Spanish required.
- Strong leadership abilities with experience supervising staff.
- Excellent communication, interpersonal, and relationship‑building skills.
- Ability to collaborate effectively with providers to support patient care.
- Proficiency in EHR systems and medical office software; proficiency in Athena and Kyruss systems.
- Strong understanding of Revenue Cycle Management (RCM), including Ob/Gyn coding, billing processes, and accounts receivable (A/R) management.
- Strong understanding of healthcare compliance and regulations.
Schedule
- Full‑time, Monday–Friday
- On‑site at the St. Cloud location
