Worship Coordinator
Campus: Central Office
Reports to: Central Worship Pastor
Summary of Role
The Worship Coordinator is a central role that serves the Celebration Church Worship Department by bringing clarity, organization, and momentum to the day-to-day flow of ministry, ensuring plans, communication, and logistics are executed with excellence. This role strengthens the team by anticipating needs, supporting leadership, and helping create environments where people can encounter God and thrive in their calling.
Position Status & Schedule
- Non-Exempt
- Hourly (40 hours)
- Sunday through Thursday: may include weekends and evenings
- Christmas, Easter, Pursuit Weeks, and Dream Team Appreciation service dates and times are black out days for time off. Major conferences are also required workdays for this position. Other events may be required to work outside of your normal schedule, you will be informed in advance of any of these requirements.
Essential Functions & Responsibilities
Worship Leadership:
- Serve as a primary administrative point of contact for internal and external communication related to the Central Worship Pastor
- Demonstrate excellent presence and high emotional intelligence in representing the Worship Department
- Build and maintain relational equity across departments and ministry teams
- Partner in the planning and logistics of Tier 1 events and conferences, stewarding hospitality and guest relations for visiting partners and guests to create meaningful experiences and excellent environments
- Facilitate meetings, align schedules, and manage the needs for the Worship Department
- Anticipate leadership needs and proactively address challenges with grace and discretion
Project Management & Coordination
- Manage the worship related needs of projects and events, ensuring effective and timely task completion, clear communication, and cross-department collaboration
- Track timelines, deadlines, and deliverables to ensure projects for the Worship Department and for Celebration Music stay on schedule
- Coordinate with internal teams (production, communications, events, finance, facilities, etc.) as needed
- Support clear communication between Central Worship staff, location staff, and other church departments
Administrative
- Oversee and maintain the Central Worship Department calendar, ensuring alignment across locations, teams, projects, and events
- Assist with the management of the calendar of the Central Worship Pastor, ensuring strategic alignment and effective time management
- Prepare and manage agendas, materials, presentations, and minutes for recurring meetings and other strategic Worship Department meetings
- Track and follow up on meeting outcomes, ensuring task completion and project momentum
- Optimize administrative processes and implement systems that improve productivity and communication
- Manage meeting logistics, including room setup, technology requirements, and materials distribution
- Assist with expense tracking, purchasing, reimbursements, invoices, and budget-related documentation
- Maintain organized records, documents, and shared resources for the worship department
- Assist with organization of Planning Center Online, Rock, and other department platforms
- Contribute to the overall success of Celebration Church and the Worship Team by performing all other duties as assigned.

- Strong ability to manage calendars, expenses, documentation, and day-to-day logistics with accuracy and consistency
- Demonstrates initiative, problem-solving ability, and proactive support of leadership and team needs
- Handles sensitive and confidential information with integrity and discretion
- Proficient using macOS, Microsoft Office Suite, Rock database, and Planning Center Online
- Flexible and willing to work outside of regular business hours as ministry needs arise
Education & Experience
- Associate’s or Bachelor’s degree in Business Administration, Communications, Ministry, or a related field. Equivalent work experience will be considered.
- Minimum of 2 years of experience in an administrative, coordination, executive support, or project support role (ministry or church context preferred)
- Prior experience coordinating projects, events, or cross-functional initiatives involving multiple stakeholders
- Demonstrated experience supporting leaders or teams through calendar management, meeting coordination, and expense tracking
- Leading within a multi-campus or multi-site environment preferred
Work Environment & Physical Demands
- Must be able to remain in a stationary position 50% of the time
- Must be able to occasionally move about inside the office and Church facility
- Must be able to position self to maintain supplies and equipment on lower shelves and in closets
- Frequently move supplies and equipment weighing up to 20 pounds
- Constantly work in open office environment
- Ability to work outside in various climates and temperatures
