Position Summary
The Staffing Coordinator is responsible for the development and continual monitoring of the work schedule for nursing staff to meet resident care needs in accordance with regulations and company policy.
Job Description
A. SCHEDULE COORDINATION
Duties: Assure scheduling of work days, hours and shifts meet staffing standards in accordance with regulatory requirements & facility guidelines. Maintain a fair and equitable practice when necessary to float staff to a different assignment and in the distribution of overtime. Adjusts staffing according to available staff and reports changes to appropriate supervisors. Replace “call-ins” (absences) in the order: A) PRN, relief or part-time employees. B) Current staff not working as to not create overtime. C) On duty staff willing to work, with supervisor approval if it may result in overtime. D) Agency staffing. Immediate notice to the Director of Nursing if adequate staffing is not able to be accomplished through the above steps.
B. MAINTAINING ATTENDANCE RECORDS
Duties: Assure accuracy of the SmartLinx Time Report; verify hours worked daily, bonus hours, overtime hours and benefit days. Assure that call-off, vacation; sick, jury duty and bereavement are turned into Payroll within the pay period the call off occurred or scheduled time off. Calculate staffing based on adjusted census daily. Coordinate with Human Resource, the maintenance of required information into the personnel files of all nursing department employees and monitors all job classification changes under direct supervision of the Director of Nursing. Monitor employee absenteeism and tardiness, reporting issues to the appropriate manager for necessary counseling. Perform related and special duties as assigned.
C. CUSTOMER SERVICE SKILLS
Duties: Promote and maintain positive relationships with co-workers, residents, visitors, volunteers, and regulators. Directly respond, within their scope of practice, to needs and concerns of residents and family members. Work with the care-giving team to identify and resolve resident and family issues. Promptly respond to call lights and other resident’s needs.
D. SAFETY
Duties: Comply with all facility policies related to safety and infection control procedures including the proper use of mechanical lifts, gait belts and personal protective equipment. Demonstrate and be able to explain proper body mechanics.
E. RESIDENT RIGHTS
Duties: Understand, comply with and promote rules regarding resident rights, promote positive relationships with residents, visitors and regulators, to include presenting a professional appearance and attitude.
F. ETHICS AND COMPLIANCE
Duties: Exhibits expected ethical and legal standards personally complying with laws, regulations and facility policy reporting responsibility.
Reinforces through example and, where applicable, conducts training on the expectation that all employees conform to these ethical and legal standards, including matters related to resident abuse or neglect.
When in doubt about whether a particular activity is proper, refrains from the activity and obtains guidance from their supervisor, the Director of Nursing, or the Administrator.
Reports promptly problems observed or reported by other employees. Assists in planning, implementing and monitoring corrective action, when problems including ethics and compliance problems and resident abuse or neglect are identified.
Maintains compliance by promoting patient and employee privacy, HIPAA regulations and confidentiality in the delivery of care. Safeguards patients’ medical, financial and personal information.

Qualifications
High School equivalent education.- Basic knowledge and understanding of the principle of scheduling and staffing.
- Must be able to understand and maintain staffing needs within regulatory guidelines with regards to daily staffing.
- Must be able to relate positively with others.
- Excellent interpersonal and communication skills.
- Knowledge of computer systems preferred.
