About the Role:

The Patient Registration/Access Representative plays a critical role in the healthcare delivery process by serving as the first point of contact for patients entering the healthcare system. This position is responsible for accurately collecting and verifying patient information, ensuring that all necessary documentation is complete and compliant with healthcare regulations. The representative facilitates smooth patient access to medical services by coordinating with clinical and administrative teams to schedule appointments and manage patient records. By maintaining clear communication and providing exceptional customer service, this role helps to enhance patient satisfaction and operational efficiency. Ultimately, the Patient Registration/Access Representative ensures that patients experience a seamless and welcoming registration process, which supports the overall quality of care provided by the healthcare facility.

Minimum Qualifications:

  • High school diploma or equivalent required.
  • Previous experience in patient registration, medical office, or healthcare customer service preferred.
  • Basic knowledge of medical terminology and healthcare insurance processes.
  • Proficiency with electronic health record (EHR) systems and standard office software.
  • Strong communication and interpersonal skills.

Preferred Qualifications:

  • Associate degree or higher in healthcare administration or related field.
  • Experience with specific EHR platforms such as Epic, Cerner, or Meditech.
  • Familiarity with HIPAA regulations and patient privacy standards.
  • Bilingual abilities to assist diverse patient populations.
  • Certification in medical office administration or patient access services.

Responsibilities:

  • Greet patients and visitors promptly and professionally, providing assistance with the registration process.
  • Collect, verify, and enter patient demographic, insurance, and medical information accurately into electronic health record systems.
  • Obtain necessary authorizations and consents for treatment and insurance purposes in compliance with regulatory standards.
  • Coordinate appointment scheduling and communicate effectively with clinical staff to ensure timely patient access to services.
  • Address patient inquiries and resolve registration-related issues while maintaining confidentiality and adhering to HIPAA guidelines.
  • Maintain up-to-date knowledge of insurance plans, billing procedures, and healthcare policies to support accurate patient registration.
  • Collaborate with billing and clinical departments to resolve discrepancies and facilitate smooth patient account management.
