What are the responsibilities and job description for the Administrative Program Specialist position at CDS Lakeshore Head Start?
Summary Description:
Enrollment
- Processes child enrollment applications, enters information into the ChildPlus and notifies families of their child’s eligibility/enrollment status
- Tracks enrollment and over income slots
- Runs enrollment reports, gathers information for grants and prepares other reports as requested
- Supports staff at all locations with filling open enrollment slots
- Assists with recruiting activities including assisting referring agencies to enroll children with special needs and working with other agencies to enroll families who qualify for the Head Start program
General Administrative
- Provides administrative support to all management staff
- Records in-kind records for volunteer hours, documenting all incoming monies, and processing DHHS billing for childcare bi-weekly for payment
- Manages the inventory and orders office supplies and assists in purchasing other supplies
- Creates community newsletters, staff newsletters and the agency annual report
- Assists with updating the CDS website
Training and Volunteer
- Ensures implementation of training requirements for staff in collaboration with Human Resources
- Researches for potential training needs and trainers, schedules, and plans All-Staff trainings and other trainings
- Coordinates and/or provides staff training including All-Staff, CPR/First Aid, annual training, and career development
- Documents all employee training in the ChildPlus
- Helps with new employee onboarding and ongoing employee training
- Assists employees in the application process for CDA and TEACH programs
- Monitors the training budget to ensure all funds are spent as allocated
- Manages volunteer programs for proper training, placement, supervision, and follow-up
- Develops volunteer programs and maintains a Volunteer Guide for training of new volunteers
Qualifications: A high school diploma or General Education Development (GED) equivalent is required. An associate degree in a related field is preferred. Strong computer skills are required.
Schedule: Full-time – 40 hours. Monday-Friday year-round. 36 hours in the summer.
