Summary
On behalf of our client, we are seeking a skilled HOA Management Assistant with a CAM license to join our dynamic team in the South Miami area. This role provides administrative and operational support to the HOA Managers and helps ensure the efficient and professional management of multiple homeowners' associations. This position serves as a key point of contact for homeowners, board members, vendors, and internal staff, assisting in the coordination of community operations, communications, and record-keeping.
Responsibilities
- Administrative Support:
- Assist HOA Managers in daily operations of managed communities.
- Maintain electronic and physical records for each community, including meeting minutes, contracts, and correspondence.
- Schedule meetings, prepare meeting agendas, and compile board packets.
- Draft, send, and manage written communications to homeowners and board members.
- Customer Service:
- Respond to homeowner inquiries via phone, email, or in person in a timely and professional manner.
- Provide accurate information regarding HOA rules, policies, and procedures.
- Escalate complex issues to the appropriate manager.
- Community Operations:
- Track and manage maintenance requests and vendor work orders.
- Coordinate with vendors for service quotes, scheduling, and follow-ups.
- Assist in the enforcement of community rules and violations processes.
- Support the preparation and distribution of newsletters, notices, and community updates.
- Accounting & Billing Support:
- Help process invoices and track payments to vendors.
- Provide support for homeowner billing inquiries and payment processing.
- Maintain and update account information as needed.
- Compliance & Documentation:
- Assist in ensuring the community is operating in compliance with governing documents and applicable laws.
- Help prepare documentation for board meetings and annual meetings, including ballots, proxies, and financial reports.
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 1–3 years of experience in administrative support, customer service, or property management preferred.
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with HOA management software (e.g., AppFolio, Vantaca, TOPS) is a plus.
- Professional demeanor and strong interpersonal skills.
- Property management experience and CAM License required.
Work Environment
- Office setting with occasional visits to managed communities or offsite meetings.
- Standard business hours with potential evening meetings (e.g., board or annual meetings).
Physical Requirements
- Ability to sit for extended periods and work at a computer.
- Occasionally lift office supplies or materials up to 25 lbs.
Pay Rate
- $18.00 - $20.00 per hour
