The Role

Join our team as an Office Manager and become the operational heart of our company. In this multifaceted role, you will ensure our business runs smoothly by overseeing daily administrative operations while also serving as a lead point of contact for our valued clients.

You will balance high-level office coordination, such as streamlining workflows and managing resources with hands-on client support, ensuring every inquiry and service appointment is handled with professional care. Key Responsibilities

Operational Leadership & Process Improvement

  • Workflow Optimization: Proactively identify inefficiencies in daily operations, develop strategic solutions, and lead the implementation of corrective changes.
  • Performance Tracking: Generate and analyze weekly team metrics and operational data to identify trends, potential issues, and growth opportunities.
  • Cross-Department Collaboration: Partner closely with Sales and Operations teams to ensure seamless communication and business continuity.
  • Team Onboarding: Oversee the administrative onboarding process for new hires to ensure a successful start.

Client Relations & Communication

  • Lead Communications: Manage inbound flow via phone, email, text, and social platforms, acting as the professional voice of the brand.
  • Strategic Scheduling: Coordinate and optimize the master schedule for service jobs and sales appointments.
  • Escalation Management: Resolve complex service issues and customer escalations with high-level problem-solving skills and professionalism.
  • Quality Assurance: Conduct proactive follow-ups to ensure service quality and maintain high customer satisfaction ratings.

Financial Administration

  • Billing & Receivables: Execute customer invoicing and accurately log all incoming payments.
  • Record Keeping: Maintain organized digital and physical files to ensure data integrity and easy retrieval.

Qualifications

  • High school diploma or equivalent (additional education in a related field is a plus)
  • Knowledge or experience in the HVAC/Plumbing industry is a plus, but not required
  • 2 years in an Office Management, Administrative Lead, or Senior CSR role.
  • Proficiency in multi-channel communication platforms and scheduling software (CRM experience is a plus).
  • Ability to read data reports and turn them into actionable improvements.
  • Exceptional verbal and written skills with a "customer-first" mindset.
  • A proven track record of taking initiative without waiting for direction.

Compensation & Benefits

  • Pay Range: $42,000– $54,000 per year (based on experience)
